The Customer Service Representative plays a vital role in ensuring customer satisfaction through accurate, timely, and professional communication. This position serves as the liaison between customers and internal departments—supporting quoting, order processing, and issue resolution. The role requires strong organizational skills, attention to detail, and a customer-focused mindset.
Key Accountabilities (includes, but not limited to the following):
Customer Communication:
- Respond promptly and professionally to customer inquiries via phone, email, or chat.
- Provide accurate information about products, services, and order status.
- Address and resolve customer concerns, escalating issues when necessary.
Quoting
- Review and process requests for quote; clarifying scope with customers.
- Collaborate with Purchasing, Estimating and Production to obtain pricing and lead times.
- Prepare and send quotes promptly; follow-up to secure orders.
Order Processing:
- Process and enter customer orders accurately and efficiently to achieve daily order goals.
- Coordinate with internal teams to ensure order fulfillment and on-time delivery.
- Communicate proactively with customers about order status and potential delays.
Issue Resolution:
- Investigate and resolve product or service-related concerns.
- Work with supervisors and cross-functional team to resolve complex issues.
- Recommend solutions that balance customer satisfaction and business needs.
Documentation & Systems:
- Maintain accurate records of customer interactions, quotes and orders.
- Enter and update customer data in the CRM and ERP systems.
- Generate reports or documentation as required.
Product Knowledge:
- Stay informed about the company's products and services.
- Provide customers with information about product features, specifications, and usage.
- Collaborate with the sales and production teams to enhance product knowledge.
Collaboration & Improvement:
- Work closely with Sales, Production and Logistics to address customer needs.
- Participate in continuous improvement efforts within the customer service process.
- Provide feedback on recurring customer issues to help enhance service quality.
