Responsibilities

• Greeting and welcoming visitors: Create a friendly and professional atmosphere by warmly greeting all visitors and potential clients as they enter the sales gallery.
• Scheduling appointments: Manage and coordinate appointments for clients to view properties or meet with in-house sales agents.
• Managing phone calls: Handle incoming phone calls, direct calls to the appropriate personnel, and take messages as necessary.
• Managing emails: Respond to email inquiries promptly and professionally, ensuring that all inquiries are addressed effectively.
• Maintaining the reception area: Keep the front desk area clean, organized, and visually appealing to enhance the overall experience of visitors.
• Coordinating with real estate agents: Communicate with real estate agents to ensure they are aware of scheduled appointments and any specific client needs.
• Collecting client information: Maintain a database of potential clients, their contact details, preferences, and property requirements.
• Handling administrative tasks: Assist with general administrative duties, such as filing, data entry, and preparing reports as needed.
• Maintain marketing collateral inventory: Coordinate efforts to keep marketing materials, brochures, and property information up to date and readily available for clients. This also includes updating the inventory count for all items.
• Resolving customer concerns: Address client inquiries, complaints, or issues professionally and promptly, or escalate them to the appropriate department.
• Following security protocols: Monitor access to the sales gallery and ensure the safety and security of the premises and its occupants.
• Prepare FedEx shipping labels for any collateral or property documents to be sent to prospective buyers.
