Job Overview
We are seeking a Client Concierge who owns the management and follow-up for all incoming leads, patient inquiries, and new patient outreach across a portfolio of premium medical spa brands and locations. This role is responsible for delivering exceptional client communication, building meaningful customer relationships, and ensuring a seamless, elevated experience regardless of brand or location.
As a key representative of the organization, the Client Concierge must confidently articulate our collective value proposition, highlighting what sets each of our med spa experiences apart within aesthetic medicine and wellness, while maintaining a consistent standard of excellence aligned with our elite patient journey. This individual plays a critical role in unifying the client experience across multiple brands, ensuring every interaction reflects our commitment to quality, trust, and results-driven care.
Essential Job Functions
- Answering all inbound calls; ensuring backup for calls is in place when not available. Ability to answer any questions asked during inbound calls or calling/emailing a client back if an answer is not known during a call.
- Clear and concise communication of the practice’s core values and product/service offerings.
- Professional and timely follow-up on inbound sales leads including all referrals, leads generated from every sales channel (Instagram, Facebook, Web submissions, IG comments etc)
- Build and facilitate referral programs with current patients.
- Communication with new and existing patients to help ensure our service level is maintained and exceeded helping insure a high rebooking % for all providers
- Manage data within the CRM system & backend of Lifted Logic – tracking leads, contacts, target perspective win back patients, etc
- Scheduling appointments with prospective patients, walking through package pricing, benefits, payment options and doing their best to qualify appointments
- Utilizing critical thinking skills to identify patient needs, determine opportunity for the practice and suggest best fit for appointment to offer real-time support with questions or problems.
