What are the responsibilities and job description for the Executive Administrative Assistant position at Reidenbach & Associates, LLC?
Seeking a customer service focused individual who exudes cheerful optimism, positivity and possesses a "get it done" mentality to work in a small Main Line based law firm to support our attorneys and staff by handling light duty office tasks. Three days a week at a minimum, approximately 6 hours each day (e.g. 10 AM - 3 PM).
Duties may include:
- generating, editing and tracking client engagement letters.
- assisting as needed with client billing and A/R.
- overseeing client and referral source appreciation gifts.
- overseeing and coordinating all client and staff birthday, anniversary, etc. celebrations, cards, etc.
- interface with all staff and attorneys in the firm.
- light telephone/front desk reception (most calls are routed directly to staff)
- processing incoming and outgoing office mail including FedEx, UPS
- greeting clients and visitors.
- scan, process and deposit client payment checks (infrequent as most payments are electronic)
- oversee office kitchen area (coffee, supplies, etc.)
- witness legal documents (primarily Wills and Power of Attorney)
- interface with IT professionals and firm vendors.
- assist the firm's attorneys and support staff with various projects and court filings.
- opening, processing and scanning in mail (roughly 5 pieces per day)
- monitoring office calendar and conference room reservations
- enter occasional vendor invoices as expenses to client accounts, including FedEX, postage, copies, etc.
- update copier code list every few months
- reorder office supplies via Amazon
Skills & Requirements
Bachelor’s Degree preferred but not required or equivalent combination of work and experience required.
Minimum three to five years of experience in an executive staff support or in a customer service position.
Excellent interpersonal, communication and organizational skills.
A strong desire to part of a culture of respect, success, fun, teamwork and high level legal services.
Proficient in Microsoft Word, Excel and Outlook.
Excellent organizational and communication skills.
Ability to perform a variety of duties, often changing from one task to another of a different nature without loss of efficiency or composure; must be able to work well under pressure.
Job Type: Part-time
Pay: $20.00 - $30.00 per hour
Expected hours: 15 – 20 per week
