General Job Description:
Manages the Executive Director’s schedule and travel arrangements, provides Board coordination, and supplies administrative support to the Executive Director.
Status: non-exempt
Supervision Duties: no supervisory duties
Impact of Work: Duties contribute to the efficiency of the organization by providing timely and accurate support for the Executive Director’s critical role.
Job Duties & Responsibilities:
Schedule
· Manages appointments, schedules meetings as planned and as requested (for both internal and external meetings). Keeps the Executive Director information of any schedule changes as they occur.
· Prepares necessary documents and information for all of the Executive Director’s meetings.
· Prepares, sets up, and cleans up after all meetings led by the Executive Director or at his request.
· Acts as primary point of contact for incoming calls and messages for the Executive Director. Communicates directly, and on behalf of the Executive Director, with donors, Board members, partner organizations, staff, and others.
· Schedules and calendars all Executive meetings, including Executive Team.
Travel
· Arranges travel and accommodation plans as needed for the Executive Director, including both domestic and international travel. Prepares detailed travel plans and itineraries; compiling briefing materials and other documents needed for travel-related meetings. Facilitates cross-departmental coordination of travel.
· Maintains regular communication with the Executive Director about any pertinent issues, especially when he is working off-site or traveling.
Board
· Plans ahead for annual schedule of full Board meetings, Committee meetings, and special meetings such as Annual Board Session.
· Prepares all documentation for each Board meeting and reviews for accuracy.
· Takes Board meeting minutes and distributes appropriately.
Donor Relations
· Ensures the Executive Director is aware of all major gifts as soon as possible.
· Schedules calls and meetings based on a donor list from the Development Department.
· Completes data entry after donor visits.
· Confirms next steps to be taken in major donor process for Doug’s assigned donors.
Administrative
· Compiles and submits expense reimbursement, cash reconciliation, and mileage reimbursement forms. Completes the Executive Director’s credit card statement reports monthly, as well as their own.
· Composes and prepares correspondence and documents on behalf of the Executive Director, for both internal and external communication.
· Gathers and prepares data for the Executive Director’s requirements in the annual budget.
· Performs general clerical tasks, including filing, copying, and creation of documents (in word processing, spreadsheet, and presentation formats).
· Reviews, sorts, and responds to incoming email messages as appropriate
· Serves as backup for Development assistance tasks.
· Performs other administrative tasks as requested.
Qualifications:
Is a Christ-follower in agreement with the RSA Statement of Faith
· Any combination of experience and education equivalent to two or more years of experience as an executive assistant (or comparable administrative role).
· Proficient in Microsoft Office Suite or similar software
· Proficient communication skills, both verbal and written
· Intermediate interpersonal skills
· Proficient attention to detail and organizational skills
· Intermediate skills in in the operation of office equipment

Working Conditions:
· Office environment with high level of interruptions
· Physical requirements of sitting, standing, and light lifting
· Limited travel
· Work schedule occasionally fluctuates based on organization needs
· Driver’s license and consistent access to a vehicle required
Job Type: Full-time
Pay: $4,378.00 per month
