About the Role:
We’re looking for a Maintenance Coordinator to join our Property Management team and support one of our most demanding portfolios. This role is built for someone who can move with urgency, communicate clearly, and keep operations tight. Your mission is simple: ensure maintenance issues are handled fast, professionally, and with zero loose ends — all while delivering a first-class experience to owners, residents, and vendors.
This is not an inbox-monitoring position. You’ll be coordinating hundreds of work orders, managing vendor workloads, overseeing invoices, and keeping everyone — owners, residents, and vendors — informed and satisfied. If you can’t multitask or handle pressure, this isn’t the seat for you.
What You’ll Do:
• Dispatch, manage, and close work orders daily, ensuring same-day service compliance
• Manage vendor workload, vendor pricing, and vendor performance standards
• Communicate with residents regarding maintenance expectations, timelines, and next steps
• Respond to a high volume of owner emails promptly and professionally
• Monitor maintenance reports to ensure department goals are met
• Manage Property Inspection Reports and follow-up actions
• Track and clear all work orders with urgency
• Conduct follow-up calls to confirm work quality and resident satisfaction
• Oversee invoice processing and workflow accuracy
• Deliver consistent, exceptional communication — both written and verbal
• Use property management software with accuracy and speed
• Embrace change, solve problems quickly, and operate with accountability
What Success Looks Like (KPIs):
• Daily dispatch completion: 100% of work orders dispatched same business day
• Work order closure rate (daily/weekly/monthly) consistently meets targets
• Reduction and control of all work orders open past 24 hours
• Accurate invoice processing with minimal corrections
• Consistent follow-up calls completed within required timeframes
• Strong communication scores from residents, vendors, and owners
