The Intake/Scheduling Coordinator at Regional West Medical Center (RWMC) plays a critical role in ensuring the smooth and efficient operation of patient intake and appointment scheduling processes. The coordinator is responsible for managing patient information, verifying insurance details, and ensuring compliance with healthcare regulations. By effectively organizing schedules and communicating with patients and healthcare providers, the role directly contributes to enhancing patient satisfaction and optimizing clinical workflow. 

Minimum Qualifications:

  • High school diploma or equivalent required; associate degree or higher preferred.
  • Previous experience in a healthcare administrative role, preferably in patient intake or scheduling.
  • Proficiency with electronic health record (EHR) systems and standard office software.
  • Strong communication skills, both verbal and written, with the ability to interact professionally with patients and staff.
  • Ability to handle sensitive patient information confidentially and comply with HIPAA regulations.
  • American Heart Association's BLS for Healthcare Providers required upon hire.

Preferred Qualifications:

  • Experience working in a hospital or medical center environment.
  • Familiarity with medical terminology and insurance verification processes.
  • Demonstrated ability to multitask and manage high call volumes efficiently.

Responsibilities:

  • Manage incoming patient intake calls and inquiries, providing clear and compassionate communication.
  • Schedule patient appointments accurately across multiple departments, ensuring optimal use of clinical resources.
  • Verify patient insurance coverage and eligibility prior to appointments to reduce billing issues.
  • Maintain and update patient records in the electronic health record (EHR) system with high attention to detail.
  • Coordinate with clinical staff and other administrative teams to resolve scheduling conflicts and accommodate urgent patient needs.
  • Provide patients with necessary pre-appointment instructions and follow-up information.
  • Assist in tracking appointment metrics and reporting scheduling trends to management for continuous improvement.
