Position Title: Administrative Assistant to the Director of Pupil Personnel Services
JOB SUMMARY: Provides secretarial support as needed under the direction of the Director of Pupil Personnel Services. Responsibilities include, but are not limited to, office clerical, communication with staff, assisting students and parents, as well as additional duties assigned by the Director.
QUALIFICATIONS:
- Knowledge of office procedures, equipment and practices.
- Knowledge of proper English usage, grammar, spelling and punctuation.
- Ability to understand the educational budget process.
- Strong computer skills, with proficiency in various computer applications, including knowledge of Word, Excel, PowerPoint, or other programs.
- Ability to follow complex instructions, prioritize work, multitask, and solve problems independently.
- Ability to communicate effectively and courteously with staff, leaders, community members, and other stakeholders
- Ability to take on new initiatives.
- Strong organizational skills.
- Adheres to confidentiality protocols
REPORTS TO: Director of Pupil Personnel Services
PERFORMANCE RESPONSIBILITIES:
- Manage confidential student records
- Coordinating meetings and correspondence for special education programs (like IEPs)
- Complete various functions for the district and at the direction of the Director of Pupil Personnel Services, including but not limited to developing and sending memos, calendars, reports, bulletins, letters, and documents.
- Communicate effectively and courteously with students, staff, leaders, community members, and other stakeholders via means such as emails, phone and in-person.
- Manage and maintain the calendars and appointments for the Director.
- Operate common office equipment including, but not limited to phones, personal computer, copier, fax, scanners, and printers.
- Manage and maintain record keeping and filing systems, including confidential and locked files, if required.
- Complete state reports on behalf of the district.
- Assist with the hiring process including interviewing, reference checks and completing requests for hire. Posts jobs available in hard copy on the office bulletin board.
- Manage bookkeeping systems as applicable, such as purchase orders, accounts payable, and placing orders.
- Perform office routines, such as processing incoming and outgoing mail, answering phone calls and other forms of communication, and welcoming visitors.
- Complies with all policies, standards, and procedures of Regional School District 12.
TERM OF EMPLOYMENT:
- The required work year for this position is 12 months

- Annual evaluation in accordance with district policies and/or union agreements.
