Position Overview:
The Administrative Assistant is part of a dynamic team that assists the Executive Director and with local Refuge for Women development and operations. This position will juggle multiple projects including correspondence, donor information entry, oversight of volunteer process, reporting activities, and assisting with local event administration. The successful candidate will have administrative experience, excellent time management skills, strong organizational, written and verbal communications skills and proficiency in Google applications.
Your team contribution:
The Administrative Assistant is a “right hand” to the Executive Director, assisting in all the areas that help local operations run smoothly. This position will serve as a point of contact for donors, volunteers and community contacts. In addition, the Administrative Assistant will make a smooth hand-off to the appropriate person and make sure that nothing falls through the cracks.

Administrative Support
- Prepare and edit correspondence, reports, presentations, and other documents.
- Develop and maintain office procedures and filing systems
- Organize and implement policies, processes, procedures and reporting mechanisms
- Work with Program Directors to ensure program data and monthly metrics are updated
Communication
- Serve as a liaison between the Executive Director and staff, board members, partners, donors, and other stakeholders.
- Draft professional emails, letters, and other forms of communication.
- Assist with the preparation and coordination of board meetings, including distributing materials.
Development
- Support planning and coordination of special events, fundraisers, and donor activities.
- Manage confidential and sensitive information with discretion.
- Help maintain positive, functional working relationships with community, government and referral agencies
- Participate with director and/or attend community events
- Assist with implementing fundraising plans, solving logistical issues, collaborating with colleagues
- Maintain contact lists volunteers and staff
- Donor information entry to CRM for tracking donations, managing donor reports and preparing monthly reports
Additional:
- Help implement a communications strategy for staff, donors and community partners
- Assist with financial reports including deposits, bank transactions, expense reimbursements and monthly expense reports
Skills & Qualifications
- Energetic team player able to work in a fast-paced environment, deal with emergent issues and juggle multiple projects
- Strong organizational, written and verbal communications skills
- Proficiency in Google Drive
- Office or admin experience, knowledge of office management systems and procedures
- Self-motivated with excellent time management and problem solving skills

Preferred:
- Experience working in a nonprofit or mission-driven organization.
- Familiarity with donor management software
- Comfort with remote collaboration tools
