Job Title: Billing Specialist
Location: Fort Worth, TX
Schedule: Monday through Friday, 8 AM - 5 PM
Pay:$25-$30 per hour, depending on experience
About the Role:
Reeder Distributors is seeking a Billing Specialist who is highly organized, self-motivated, and detail-oriented. This role is responsible for service, warranty, and progress billing for the Equipment Solutions team. The ideal candidate is a natural problem-solver, works independently, and proactively seeks ways to support the team when they have bandwidth.
Key Responsibilities:
Invoice Preparation & Review:
- Generate and process accurate invoices based on sales orders, service tickets, and job progress using QuickBooks, Service Fusion, and Monday.com.
- Identify and resolve billing errors proactively to prevent payment delays.
Billing Documentation & Compliance:
- Conduct thorough invoice reviews to ensure compliance with contracts, sales orders, estimates, agreements, policies, and regulations.
- Maintain proper documentation of billing adjustments, credit memos, and invoice records.
Collaboration & Communication:
- Work closely with project managers, service teams, accounting, and field personnel to gather accurate billing information.
- Communicate with clients, contractors, and subcontractors regarding invoices, discrepancies, and payment terms.
- Handle incoming calls and route them appropriately.
- Assist the Customer Service Supervisor with other billing-related tasks.
Contract Review:
- Review in-progress and completed projects for billing accuracy.
What We're Looking For:
- Industry Knowledge - Familiarity with construction industry terms, contracts, and billing procedures.
- Software Proficiency - Experience with QuickBooks, Sage, and Microsoft Office Suite (Excel, Word).
- Attention to Detail - Strong analytical skills to ensure accurate billing and proper documentation.
- Communication Skills - Excellent verbal and written communication for working with clients, vendors, and internal teams.
- Problem-Solving Ability - Skilled at identifying billing discrepancies and resolving them efficiently.
Working Conditions:
- Full-time, office-based position with occasional site visits if required.
- Work hours may vary depending on project timelines and client needs.
- Ability to sit for extended periods of time.
- Occasionally required to lift and carry materials up to 20 pounds.
Experience & Education:
- Experience: 2-3 years in construction billing, accounting, or a related field.
- Education:
- Required: High school diploma or equivalent.
- Preferred: Degree in Accounting, Finance, Construction Management, or a related field.
