**Position Overview**
Event Coordinator will manage all aspects of event planning and execution. This includes logistics, vendor negotiations, and on-site management, ensuring that all events reflect Reed Global’s high standards of quality and service. You will play a crucial role in liaising with clients, vendors, and internal teams to deliver exceptional events. To maximize the full time position you may be helping with branding and social media task to help RGE to succeed.
**Key Responsibilities**
- **Event Planning and Coordination**
- Oversee all logistical aspects of events, including venue selection, catering, audio-visual requirements, and transportation.
- Develop detailed event plans and timelines, ensuring all stakeholders are informed and aligned.
- Coordinate and manage event budgets, tracking expenses and ensuring financial accountability.
- **Vendor Management and Negotiation**
- Identify, negotiate, and contract with vendors (venues, catering, transportation, etc.) to secure optimal terms and pricing.
- Maintain strong relationships with vendors to ensure high-quality service delivery and problem resolution.
- **Client Liaison**
- Act as the primary point of contact for clients, understanding their needs and expectations, and providing regular updates throughout the planning process.
- Conduct client meetings to finalize event details and requirements, ensuring alignment on objectives and logistics.
- **On-Site Management**
- Lead on-site event execution, managing staff and ensuring all details are carried out as planned.
- Handle any unforeseen issues or changes, ensuring a smooth experience for all attendees.
Creating ROS for everyone and event.
- **Reporting and Evaluation**
- Compile post-event reports, evaluating successes and areas for improvement to inform future events.
- Keep detailed records of all event-related documentation, including contracts and communications.
Social Media Branding -
Helping content creation, social media engagement, trend monitoring and Branding strategy.
**Qualifications**
- **Education & Experience**
- Bachelor’s Degree in Hospitality, Event Management, or a related field.
- Minimum of 3 years of experience in event coordination, preferably within hospitality and travel management sectors.
- **Skills**
- Exceptional organizational skills with a keen attention to detail.
- Strong verbal and written communication skills; ability to articulate ideas clearly and effectively.
- Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and event management software.
- **Languages**
- Fluent in English (written and spoken); proficiency in Spanish is a plus.
