JOB OVERVIEW:
REED Autism Services is seeking a Facilities Manager to oversee the maintenance, safety, and operational integrity of all REED properties. This role is responsible for managing facility operations across multiple sites, including the Academy, REED Next residences, Greens Do Good, and the Community Center.
The Facilities Manager combines hands-on problem solving with strong operational leadership, ensuring that facilities are safe, compliant, well-maintained, and responsive to the needs of REED programs. This role supervises the Assistant Facilities Manager and serves as the central point of coordination for maintenance requests, vendor management, inspections, and facility-related projects.
REPORTS TO: Chief Operating Officer
KEY RESPONSIBILITIES:
Facilities Operations & Maintenance
- Oversee facilities operations across a portfolio including over 50,000 sq. ft. of Academy facilities, six residential homes, and more than 10 acres of property.
- Lead all facility operations across REED properties, ensuring buildings, systems, and grounds remain safe, functional, and well-maintained.
- Perform minor repairs and hands-on maintenance as needed while coordinating specialized repairs through vendors or contractors.
- Supervise and support the Assistant Facilities Manager in addressing day-to-day facility needs and site requests.
- Implement, manage, and maintain an organization-wide work order and ticketing system for maintenance requests.
- Track incoming requests and upcoming work, prioritize work, assign tasks, and monitor completion timelines.
- Establish and oversee a dual-track maintenance approach that ensures all required inspections and preventative maintenance are completed on schedule, while proactively planning for recommended improvements that preserve and enhance facility quality.
- Generate regular reports on maintenance activity, facility trends, and outstanding issues.
- Develop and maintain strong relationships with vendors, contractors, and service providers.
- Coordinate services including HVAC, electrical, plumbing, custodial services, security systems, and other facility-related work.
- Negotiate service agreements, review contracts, and ensure quality and accountability in vendor performance.
- Develop and maintain an annual facilities maintenance calendar across all properties.
- Provide regular updates and reports to leadership regarding facility conditions, projects, and risks.
- Oversee all exterior property maintenance including Landscaping, snow removal, outdoor systems, and roofing needs.
- Ensure properties remain safe, accessible, and presentable year-round.
- Maintain a clean and sanitary workplace through oversight of the cleaning company.
- Lead facility improvement projects from planning through completion.
- Develop and manage Requests for Proposals (RFPs) for larger-scale facility upgrades or capital projects.
- Make recommendations for capital improvements and long-term facility investments.
Inspections, Compliance & Risk Management
- Ensure all required municipal, state, and federal inspections are scheduled and completed on time.
- Maintain compliance with building codes, safety regulations, and applicable licensing requirements.
- Develop and maintain strong working relationships with municipal inspectors, code officials, and local regulatory agencies to support timely inspections, approvals, and ongoing compliance.
- Coordinate documentation, approvals, and follow-up actions related to inspections.Oversee maintenance and service schedules for REED’s fleet vehicles. Coordinate inspections, repairs, and preventative maintenance.
- All other duties as assigned.
SCHEDULE & WORK ENVIRONMENT:
- This role requires regular travel between REED sites Monday through Friday.
- Primarily daytime hours, with occasional evening or weekend availability for emergencies, projects, or inspections.
BASIC QUALIFICATIONS:
- High school diploma or GED required. Bachelor’s degree preferred. Participate and pass Pre-Employment requirements of NJ DDD, NJ DOE, REED Academy & REEDNext.
- Valid driver’s license with an acceptable motor vehicle record in accordance with REED policy.
- Ability to pass all required background and compliance checks.
EXPERIENCE & SKILLS:
- 5 years of experience in facilities management, property management, construction coordination, or related fields.
- Demonstrated ability to oversee multiple projects and maintenance needs across multiple sites.
- Experience developing RFPs or managing procurement processes preferred. Ability to balance hands-on maintenance work with leadership, planning, and reporting responsibilities.
Pay: $85,000.00 - $95,000.00 per year
