Position SummaryWe are seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative support to our Chief Financial Officer (CFO) and Chief Technology Officer (CTO). This individual will play a critical role in ensuring the smooth operation of their daily schedules and strategic priorities. The ideal candidate is detail-oriented, resourceful, and capable of handling a wide range of executive and project-level tasks with discretion and professionalism.Responsibilities & Duties Executive SupportProvide high-level administrative support to the CFO and CTO, including:Managing and coordinating complex calendars, meetings, and appointmentsPlanning and booking domestic and international travelPreparing and processing expense reports and invoicesDrafting and editing correspondence, reports, and PowerPoint presentationsHandling a variety of other administrative tasks as neededProject & Event CoordinationSupport cross-functional initiatives including:Assisting with investor relations and corporate communicationsCoordinating logistics and materials for internal and external events, meetings, and conferencesExecutive Office BackupServe as backup administrative support for the Chief Executive Officer (CEO) and President, including:Managing calendars and scheduling meetingsCoordinating complex travel itinerariesPreparing expense documentation and reimbursementsWorks closely with the Office Manager and provides back up support related to managing the Mill Valley office when needed Required Experience & EducationMinimum of 5 years of experience supporting senior-level executives in a fast-paced, dynamic environmentProven ability to manage multiple high-level priorities with discretion, confidentiality, and efficiencyExceptional written, verbal, and interpersonal communication skillsProficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint); tech-savvy and quick to learn new toolsExcellent organizational skills and attention to detailCalm under pressure and adept at resolving issues with a positive, solution-focused attitudeStrong customer service mindset and a proactive, team-oriented approachBachelor’s degree preferred; equivalent work experience will be considered A reasonable estimate of the total compensation range for this role is $100,000-$130,000. The actual salary offer to the successful candidate will be based on job-related education, geographic location, training, licensure and certification, and other factors.
