This role works under the guidance of the Director of Center of Excellence to assist with process analysis, documentation, and implementation of improvement strategies. This role’s workload will be divided between the Center of Excellence team and the Enterprise Systems and Solutions team, both of which are part of the Information Services Department. The coordinator will collaborate with cross-functional teams to support project execution, identify opportunities for improvement, and ensure alignment with organizational goals. As such, you will be expected to act as a Redwood-brand ambassador, promote our brand and provide the best resident experience possible. All Redwood employees are expected to conduct all organizational business and practices in accordance with Redwood company policies. Duties & Responsibilities: Contribute to projects by providing administrative and analytical support.Collaborate with project stakeholders and cross-functional teams to gather and document business requirements to facilitate the solution of projects.Support the creation and execution of test plans and test cases for the Enterprise Systems and Solutions team documenting any issues.Facilitate work sessions to plan, execute, and monitor project progress, identify potential risks and issues, and provide recommendations for resolution.Assist in the development of training materials and facilitate user training sessions to ensure a smooth transition to new systems and processes.Provide support within meetings to promote collaboration and elicit information from team members.Track and document action items during group sessions and follow up to ensure these tasks are assigned and completed as necessary.Maintain and manage project documentation including artifacts, notes, and any related support issues/resolutions within our internal knowledge base.Schedule and coordinate meetings for project teams to facilitate collaboration, monitor progress, and ensure projects remain on track.Maintain assigned tasks within project schedules, proactively adding new tasks as needed to support project objectives.Assist in identifying process inefficiencies and opportunities for improvement.Participate in process mapping and documentation activities.Assist in developing, updating, and maintaining standard work documents to ensure consistency in operational procedures.Help monitor and validate the effectiveness of implemented changes.All other related duties, as assigned.Required Skills: Respectfulness, trustworthiness, empathy and leadership The ability to work under pressure Excellent time management skills Ability to quickly learn and adapt to new software programs, tools, and technologiesStrong communication skills and general business acumen The ability to communicate and interact with employees at all organizational levels Proven ability to plan, organize and implement multiple tasks/projects on a concurrent, real-time basis Required Qualifications:Bachelor’s degree in business, Information Systems, or related field.In lieu of a degree, 3 years of experience as a Coordinator in the Information Services field is required.Proficiency in Microsoft Office tools (Excel, PowerPoint, Visio).Familiarity with continuous improvement methodologies (Lean, Six Sigma) is a plus.Physical Requirements: Must be able to use standard office equipment such as computers, desk phones, cell phones, photocopiers, etc. Must be able to navigate stairs occasionally, particularly in the event of elevator outages or during emergency situations. Must be able to sit for extended periods of time, stand, bend, and walk with the ability to lift 30 pounds occasionally. Attendance and Scheduling: Punctuality and consistent attendance are essential for success in this role, and employees must adhere to set start times and assigned schedules. Occasional travel may be required for team outings, training sessions, or company-sponsored events, estimated at less than 5% annually. Work Environment: Job is performed in a professional office environment. Exposure to varying indoor temperatures depending on location in the building and season. Combination of natural daylight and standard office lighting throughout the workspace. Movement across multiple flooring types, including tile, carpet, and other transitions. An open workspace layout, defined by a shared space without traditional enclosed offices or high-walled cubicles, may introduce distractions or reduce privacy. Possibility of shared desk spaces.
