Duties
- Manage and maintain executive calendars, scheduling appointments, meetings, and events using BuilderTrend
- Handle correspondence via phone, email, and other communication channels with professionalism and courtesy, demonstrating excellent phone etiquette.
- Assist with event planning, including logistics, vendor communication, and on-site coordination.
- Manage office operations including filing, data entry, bookkeeping using QuickBooks, and maintaining organized records.
- Support project coordination efforts by tracking deadlines, preparing reports, and ensuring timely completion of tasks.
- Utilize office management tools such as Microsoft Office Suite (Word, Excel), DocuSign, and multi-line phone systems to facilitate daily operations.
- Provide executive administrative support including managing phone systems, handling confidential information, and performing clerical duties such as filing and front desk responsibilities.
- Perform miscellaneous administrative tasks to ensure smooth office functioning and excellent customer service.
Qualifications
- Proven experience as a Personal Assistant or in an administrative support role with strong office management skills.
- Proficiency in Microsoft Office (Word, Excel), Google Workspace (Gmail, Calendar), Microsoft Outlook Calendar, DocuSign, and data entry software.
- Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment.
- Strong typing skills along with proofreading and transcription abilities.
- Experience with event planning, project coordination, bookkeeping (QuickBooks), and office procedures.
- Exceptional communication skills including phone etiquette and customer service experience.
- Demonstrated ability to handle confidential information discreetly.
- Office experience including filing systems, front desk duties, multi-line phone systems, and clerical tasks.
