Position Description
The Controller serves as the senior finance professional for a single-family office, providing strategic financial leadership and oversight across all financial operations. This role focuses on high-level financial management, treasury operations, tax strategy coordination, and team leadership while delegating day-to-day operational tasks to support staff. The Controller ensures accurate financial reporting, effective cash management, and optimal coordination with external advisors to support the family's comprehensive wealth management objectives. The position reports to the Executive Director.
Essential Duties & Key Responsibilities
Financial Leadership & Oversight
- Oversee all financial operations of the family office, including payroll, bill pay, accounting, grant management, cash management, investment accounting and financial reporting
- Develop and maintain comprehensive financial policies, procedures, and internal controls
- Ensure accurate and timely monthly, quarterly, and annual financial reporting to family members
- Supervise and mentor the staff accountant, delegating day-to-day bookkeeping, reconciliations, and data management tasks
Cash Management & Treasury
- Manage family office treasury functions, including liquidity planning and cash flow forecasting
- Coordinate wire transfers, ACH payments, and other significant cash movements
- Monitor and optimize banking relationships and account structures
Tax Coordination
- Serve as primary liaison with external tax advisors and CPAs for all family members, trusts and business entities; assist with tax planning strategies
- Gather and organize tax information and coordinate tax projections, estimated quarterly payments and annual tax return preparation
- Oversee preparation of required 1099s and other tax reporting documents
Investment Operations Management
- Ensure proper tracking and reconciliation of investment accounts
- Coordinate investment reporting and performance analysis
- Ensure accurate records of investment entity capital accounts and tax basis
External Relationship Management
- Serve as liaison with bankers, lenders, and financial institutions on behalf of the family
- Coordinate with estate and business attorneys regarding financial aspects of estate planning and entity structures
- Work with insurance brokers on appropriate risk management measures and manage IT/cybersecurity service providers
Technology & Systems Management
- Oversee financial technology systems to ensure proper system maintenance, security, and optimization
- Evaluate and implement new financial technologies as needed
- Maintain robust cybersecurity protocols and data protection measures
Document Management & Compliance
- Establish and maintain comprehensive document management systems
- Ensure proper retention of financial records, legal documents, and compliance materials
Financial Planning & Analysis
- Prepare routine, consistent personal financial statements for family members
- Conduct financial analysis to support family decision-making
- Assist with budgeting, forecasting, and scenario analysis for family entities and personal finances
- Support special financial projects directed by the Executive Director and/or family members
Qualifications
- Undergraduate degree in Accounting, Finance, or related field required
- Experience in public accounting, family office or high-net worth client services a plus
- Minimum of 5-7 years of accounting and finance experience
- Familiarity with estate, trust and partnership concepts and taxation
- Knowledge of banking, treasury management, and cash flow planning
- Advanced proficiency in Microsoft Office Suite, specifically Excel
- Experience with Sage Intaact, QuickBooks Online and/or similar accounting platforms
- Self-motivated and proactive approach to problem solving
- Excellent written and verbal communication skills
- Strong organizational and project management skills
- Ability to work independently while collaborating effectively with team members and external advisors
- Exceptional judgment and discretion in handling sensitive financial information

Working Arrangement
This position is full-time and based in Zeeland, Michigan with a flexible work arrangement of remote/in-office available. Occasional evening or weekend work may be required during peak periods (month-end, quarter-end, tax season). Minimal travel may be required for meetings with external advisors or family members.
