About the Position
The Assistant Property Manager is responsible for maximizing the satisfaction and well-being of all individuals associated with the community while being consistent with the goals and objectives of the company. This individual works in conjunction with the Property Manager to oversee the daily activities of the community including leasing, financial management, resident relations, maintenance, general office administration, and policy & procedure compliance. The ideal candidate will have excellent communication skills, a strong attention to detail, and a passion for delivering outstanding customer service.
Responsibilities include
Resident Relations:
- Act as a point of contact for residents, addressing inquiries, concerns, and maintenance requests in a timely and professional manner.
- Conduct regular property inspections to ensure compliance with lease agreements and maintenance standards.
- Assist in the resolution of resident disputes and enforce lease terms as necessary.
- Assist with planning and execution of resident events.
Leasing:
- Assist in the leasing process, including scheduling and conducting property tours, screening prospective residents, and preparing lease agreements.
- Maintain accurate and up-to-date records of leasing activities and resident information.
Financial Management:
- Assist Property Manager in the preparation of budgets and forecasts for the property.
- Monitor rent collections and work with residents to address any outstanding balances.
- Coordinate with vendors, contractors and maintenance team on repairs, ensuring cost-effectiveness and quality of work.
Administrative Support:
- Assist the Property Manager with drafting correspondence, maintaining files, and scheduling appointments.
- Assist in the preparation of reports, presentations, and other documentation as needed.
- Ensure compliance with local, state, and federal regulations governing property management.
Team Collaboration:
- Work collaboratively with the maintenance, finance, operations and property management teams to achieve organizational goals and objectives.
- Foster a positive and productive work environment through effective communication and teamwork.
- Assist in training and mentoring new staff members as needed.
Qualifications
- Strong communication, interpersonal, and customer service skills
- Ability to remain calm under pressure
- Excellent organizational and time management abilities, with a keen attention to detail
- Proficiency in Microsoft Office Suite and cloud based CRMs
- Experience in Yardi a plus
- Previous experience in hospitality, property management or related industry a plus
- Driver's License (Preferred)
- Work Location: In person
Additional information
- $20.00 - $24.00 per hour with bonus opportunity
- 8 hour shift, on-site in Portland, ME
- Full-time, 40 hours per week
- An expectation of travel between properties; a driver’s license is required
- Professional office setting but will require onsite work at property and other offices
- The job physically requires one to stand, walk and sit; talk and hear--both in person and by telephone; use hands to handle or feel objects or controls; reach with hands and arms; see with depth perception; stoop, kneel, bend, crouch and lift up to 25 pounds.
- Reliably commute or planning to relocate to Portland, ME before starting work
- This position is not eligible for remote work
- Availability for weekend, early morning or evening work may be required
