What are the responsibilities and job description for the Church Secretary and Bookkeeper position at Redeemer Lutheran Church?
This position performs, maintains, and is resposible for all administrative and bookkeeping duties for Redeemer Lutheran Chuch and serves as the direct administrative assistant to the pastor.
Essential Duties and Responsibilities:
Chruch Secretary
- Prepare all materials for and attend Board of Directors meetings; record, type and file the minutes of the meetings.
- Serve as the general information center for the entire church handling phone calls, emails, and mail.
- Work closely with the pastor in developing new ideas and special projects.
- Work with the school director on coordinating joint church-school events.
- Work with appropriate committees, officers, and leaders to carry out the ministry of the church.
- Ensure office files are up-to-date and organized.
- Ensure that office equipment is clean and well-maintained.
- Order office supplies as necessary.
- Keep an accurate calendar with corresponding paperwork of all activities relating to church life.
- Create and print weekly worship bulletins, announcement sheets, and monthly newsletters, as well as any funeral or wedding bulletins.
- Maintain church directory and other church correspondence, including an accurate, up-to-date database of church members with mailing information; dates of birth, baptism , marriage and confirmation and membership and communion attendance.
- Responsible for administering all aspects of the Concordia Health Plan for the staff.
Bookkeeper
- Accurately record all financial transactions, including income (donations, offerings, school tuition) and expenses.
- Handle accounts payable.
- Record and track member giving, including pledges and weekly contributions, and prepare giving statements for members.
- Perform monthly bank reconciliations.
- Work with school director to calculate salaries, process payroll, and handle employee deductions.
- Work with Paychex to pay payroll taxes and file all necessary forms.
- Maintain compliance with relevant tax and accounting regulations and church-specific financial policies.
- Prepare regular financial reports for church leadership and boards to aid in decision-making.
- Help in creating and managing the annual budget.
- Assist with any financail audit.
Qualifications and Education Requirements:
- High School Diploma Required
- Two years secretarial experience preferred
