Account Assistant / Bookkeeper Assistant
Location: Princeton, NJ
Employment Type: Full-Time
Schedule: Monday–Friday, 7:00 AM – 5:00 PM
Additional Hours: Occasional evenings and weekends as needed
Lunch Break: 30 minutes (in or out of the office)
Position Summary
We are seeking a highly organized and experienced individual who can assist in the day-to-day administrative, dispatching, and financial operations of our plumbing, heating, and air conditioning company.
This is a hands-on role responsible for coordinating service calls and technician schedules, managing customer communication, maintaining accurate financial records, and implementing systems that improve office efficiency, customer satisfaction, and profitability.
The ideal candidate is proactive, detail-oriented, and comfortable balancing multiple responsibilities in a fast-paced service environment.

Key Responsibilities
Office & Operations
Develop and implement systems and processes to improve office efficiency and workflow.
Create a positive and productive office environment for staff and customers.
Facilitate conflict resolution and ensure clear, professional communication.
Assist with co-op and vendor rebate programs.
Dispatching & Customer Service
Schedule and dispatch service technicians for plumbing, heating, and air conditioning calls.
Monitor technician schedules and adjust assignments throughout the day to maximize efficiency.
Communicate with customers regarding appointment confirmations, delays, and job updates.
Prioritize emergency calls and coordinate after-hours service when necessary.
Review technician productivity, including hours worked versus hours invoiced and billed.
Ensure all work orders and service tickets are completed accurately and submitted on time.
Accounting & Bookkeeping
Maintain accurate and timely financial records and reports.
Manage accounts receivable, including invoicing, collections, and posting customer payments.
Prepare weekly bank deposits and maintain the daily check register.
Process accounts payable and ensure vendor payments are mailed by the 1st and 10th of each month.
Reconcile bank and balance sheet accounts monthly.
Payroll & Tax Compliance
Process payroll, including review of timecards and labor allocation.
Maintain holiday, vacation, and PTO records.
Prepare and submit payroll tax deposits, including Form 941.
Complete union reporting and other regulatory filings.
Review labor postings and identify unposted labor monthly.
Administrative & Risk Management
Maintain insurance policies, certificates of insurance, and vehicle insurance records.
Review and approve credit applications for new customers.
Set up and maintain customer accounts and credit files.
Other Duties
Perform additional duties and special projects as assigned.
Qualifications
5 years of experience in office management, dispatching, and bookkeeping.
Experience in the plumbing, HVAC, construction, or service industry strongly preferred.
Strong knowledge of accounting principles, payroll, accounts receivable, and accounts payable.
Experience with dispatching software and accounting systems such as QuickBooks or similar.
Excellent communication, customer service, and organizational skills.
Ability to multitask and prioritize effectively in a fast-paced environment.
Strong leadership and problem-solving abilities.
Pay: $59,668.12 - $71,858.38 per year
