Job Description

Purpose: The Secondary Secretary provides office and clerical support to assist with the efficient operation of the school district. To accomplish these tasks, the Secondary Secretary works closely with the staff and administration of USD No. 498.

Responsible to: Principal and Superintendent

Qualifications:

  1. High school diploma or equivalent.

  2. Health Certificate on file in the Central Office (after employment offer is made).

  3. Working knowledge of basic office procedures and the operation of common office equipment.

  4. A reasonable degree of proficiency in typing and computer operations.

  5. Experience in using various computers and computer programs.

  6. Possess basic knowledge of bookkeeping practices.

  7. Ensure that financial activities conform to district guidelines.

  8. Desire to continue career improvement.

Essential Functions:

  1. Provide office and clerical support to assist with the efficient operation of the school.

  2. Maintain the financial books and accounts of the school building.

  3. Ensure that all activities conform to district guidelines.

  4. Communicate effectively with members of the school district and community.

  5. React to change productively and handle other tasks as assigned.

  6. Appropriately operate all equipment as required.

  7. Support the value of an education.

  8. Support the philosophy and mission of U.S.D. No. 498.

Physical Requirements/Environmental Conditions:

  1. Requires prolonged sitting or standing.

  2. Requires lifting boxes,

  3. Must work in noisy and crowded environments.

General Responsibilities:

  1. Performs the usual office routines and practices associated with a busy yet productive and smoothly run office.

  2. Screen visitors and telephone calls, directing them to the appropriate person/department.

  3. Screen and route incoming mail.

  4. Compose, type, and copy correspondence, reports, bulletins, records, and other materials.

  5. Obtain, gather, and organize pertinent data as needed.

  6. Maintain an orderly filing system.

  7. Schedule appointments, make travel arrangements, and assemble material for meetings.

  8. Assist in planning meeting agendas, and assist in preparing meeting summaries.

  9. Collect, report, and deposit money received by the Secondary Office.

  10. Maintain accurate activity fund accounts.

  11. Prepare financial reports for building.

  12. Assist with building enrollment.

  13. Maintain accurate student cumulative folders.

  14. Coordinate the Parent/Teacher Conference schedule.

  15. Maintain accurate attendance records, and report attendance problems to the Principal.

  16. Call parents to confirm absences.

  17. Maintain breakfast and lunch records.

  18. Send free and reduced lunch approvals/denials to parents, and maintain accurate records.

  19. Distribute office passes and notes as directed.

  20. Maintain and submit a daily log of school hours completed.

  21. Prepare rosters and programs.

  22. Assist in the preparation of the school calendar.

  23. Assist in the preparation of student handbooks.

  24. Report the honor roll each quarter.

  25. Assist with preparing student awards and organizing the end of the year awards assembly.

  26. Assist with the preparation of the yearbook.

  27. Schedule school pictures and retakes.

  28. Maintain an accurate inventory of student books and teacher materials.

  29. Order, receive, and distribute supplies.

  30. Administer first aid to ill/injured students in the absence of the school nurse according to school policy.

  31. Assist in the hiring, supervision, and training of employees.

  32. Assist with hiring substitutes, record staff absences, and submit staff reports to the Principal.

  33. Place orders for materials, verify quantities delivered, and distribute to staff.

  34. Keep abreast of new information, innovative ideas and techniques.

  35. Adhere to all district health and safety policies, including all precautions of the Bloodborne Pathogens Exposure Control Plan.

  36. Other duties as assigned by the Principal or Superintendent.
