Duties
- Greet and assist visitors, clients, and staff with professionalism and courtesy, ensuring a positive first impression
- Answer multi-line phone systems promptly and direct calls efficiently using proper phone etiquette
- Manage appointment scheduling and calendar coordination using productivity software and calendar management tools
- Handle data entry tasks accurately within spreadsheets and client databases, maintaining organized records
- Perform clerical duties such as proofreading documents, word processing, and maintaining filing systems
- Utilize office management software like Microsoft Office and QuickBooks for invoicing, record keeping, and reporting
- Support office operations by managing supplies inventory, organizing files, and assisting with general administrative tasks
- Provide customer support by addressing inquiries via phone or in person, ensuring clear communication and excellent service
- Maintain a professional appearance at the front desk area, ensuring it is welcoming and well-organized
Experience
- Proven clerical or administrative experience in an office setting with strong organizational skills
- Demonstrated proficiency with Microsoft Office Suite (Word, Excel, Outlook) and productivity software
- Experience with data entry, proofreading, and managing spreadsheets accurately
- Familiarity with multi-line phone systems and professional phone communication skills
