Job Overview
We are seeking an energetic and highly organized Secretary to join our dynamic team. This vital role involves providing comprehensive administrative support, managing front desk operations, and ensuring smooth office functioning. The ideal candidate will possess excellent communication skills, a proactive attitude, and the ability to handle multiple tasks efficiently. As a key point of contact within the organization, you will facilitate effective office management, support customer service efforts, and maintain a professional environment that promotes productivity and positive interactions.

Responsibilities

  • Serve as the first point of contact at the front desk, greeting visitors and directing them appropriately
  • Manage multi-line phone systems, answer inquiries promptly, and transfer calls with professionalism and courtesy
  • Perform data entry and maintain accurate records using Microsoft Office, Google Workspace, and other office software tools
  • Handle scheduling tasks such as calendar management and appointment setting for staff and executives
  • Assist with clerical duties including filing, proofreading documents, managing correspondence, and organizing office supplies
  • Support bookkeeping activities using QuickBooks or similar accounting software to track expenses and invoices
  • Provide exceptional customer support by addressing inquiries via phone or email, ensuring client satisfaction and efficient communication

Qualifications

  • Proven office management or administrative experience in a fast-paced environment
  • Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
  • Excellent organizational skills with keen attention to detail and accuracy in typing and data entry tasks
  • Effective phone etiquette skills with experience managing multi-line phone systems
  • Bilingual abilities are highly desirable to serve diverse client needs effectively
  • Prior experience as a receptionist, personal assistant, medical or dental receptionist is a plus
  • Knowledge of clerical procedures such as filing systems, proofreading documents, and calendar management
  • Ability to handle confidential information discreetly while demonstrating strong time management skills
