Responsibilities
- Serve as the first point of contact at the front desk, greeting visitors and directing them appropriately
- Manage multi-line phone systems, answer inquiries promptly, and transfer calls with professionalism and courtesy
- Perform data entry and maintain accurate records using Microsoft Office, Google Workspace, and other office software tools
- Handle scheduling tasks such as calendar management and appointment setting for staff and executives
- Assist with clerical duties including filing, proofreading documents, managing correspondence, and organizing office supplies
- Support bookkeeping activities using QuickBooks or similar accounting software to track expenses and invoices
- Provide exceptional customer support by addressing inquiries via phone or email, ensuring client satisfaction and efficient communication
Qualifications
- Proven office management or administrative experience in a fast-paced environment
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Excellent organizational skills with keen attention to detail and accuracy in typing and data entry tasks
- Effective phone etiquette skills with experience managing multi-line phone systems
- Bilingual abilities are highly desirable to serve diverse client needs effectively
- Prior experience as a receptionist, personal assistant, medical or dental receptionist is a plus
- Knowledge of clerical procedures such as filing systems, proofreading documents, and calendar management
- Ability to handle confidential information discreetly while demonstrating strong time management skills
