Title: Secretary
Employment Terms: Varies: Eleven (11) Months/Twelve (12) Months
Salary Classification: Classified Salary (Non-Exempt)
General Statement of Responsibilities: To demonstrate a caring and understanding relationship with parents and the community. To have a positive working relationship with the governing board and employees of the district. Maintain a high level of confidentiality, to assure compliance with statute, rules and regulations and governing board policy concerning governing board agendas. Assist in ensuring the smooth and efficient operation of the Superintendent's office.
Duties and Responsibilities:
- Greets visitors, answers and screens telephone calls and provides information as appropriate.
- Prepares purchase requisitions as needed.
- Handles incoming and outgoing mail.
- Maintain files of forms for travel request, per diem, requisitions, leaves, etc.
- Assist in the preparation of multiple departmental reports.
- Schedules appointments and maintain supervisors calendar and schedules staff meetings when necessary
- Handles a variety of correspondence, reports and other materials; confidentiality of information.
- Assist staff as requested with secretarial and clerical services.
- Maintains office supplies and ensure s that office equipment functions properly.
- Records and file purchase orders, invoices, and requisitions for outside vendors.
- Typing, filing, phone, and work with vendors as necessary.
- Must relate and communicate effectively to the business department.
- The district reserves the rights to amend this job description as necessary.
- Performs other related tasks as assigned.
Certification: Arizona Fingerprint Clearance Card
Skills Required: Typing at 65 wpm, computer spreadsheet, word processing, and database; operation of the office.
Knowledge Required: Basic office procedures, policy requirements, general rules, and regulations governing the operation of the governing board.
Qualifications: Top level secretarial, communication, and organizational skills.
Education: High School diploma or equivalent.
Experience: One to three years of experince. Business skills training and computer skills. Preferable in a school setting.
Supervision: Must use own initiative and judgment.
License: Valid Driver’s License
Physical Requirements: Must be able to operate office equipment and computer.
