Full Job Description
Provide administrative assistance to Red Door CPA Group clients, partners, and professional staff within our firm. Communicate effectively with internal and external parties with respect, composure, and grace with highly sensitive issues on behalf of management. Work with our diverse group of customers at all levels of the firm. Exercising independent judgement to plan, organize and prioritize workload with strict deadlines in a fast-paced environment. Ideal for someone who is dependable, people orientated, and detail orientated.
This position is a full-time employment with opportunity for overtime during tax season (January-April) and a 4 day - 32 hours/week during the summer (June- August).
Administrative Duties and Responsibilities
- Operate multi-line phone systems to manage incoming calls with professionalism and courtesy, while taking the appropriate notes
- Manage multiple computer systems and keep them synchronized
- Greet visitors warmly
- Provide customer support by addressing client concerns and inquiries promptly.
- Ability to handle confidential information with the care and respect
- Schedule appointments and maintain calendars
- Schedule, coordinate and write an agenda for staff and other meetings (could include Zoom meetings)
- Sort and distribute mail
- Prepare communications, such as memos, emails, reports, and other correspondence
- Keep track of multiple projects and their deadlines
- Create and maintain filing systems, both electronic and physical
- Write and Edit documents from letters to reports and instructional documents
- Going to the bank
- Coordinating meals for meetings
- Running errands
- Other miscellaneous duties
Administrative Qualifications
- Have an Assoicates Degree or above
- A Minimum of 3-5 Years Experience supporting other professionals in busy offices
- Excellent time management skills and project management skills
- Able to handle both long-term and short-term projects
- Ability to quickly learn and implement new computer systems
- Excellent interpersonal skills with ability to handle confidential information and situation discreetly
- Excellent oral and written communication skills, professional phone skills, excellent organized, self-starter, able to set priorities and meet deadlines, able to multitask, carefully proof own work and others with great attention to detail.
- Strong knowledge of Microsoft Office (Excel, Word, Outlook) and Karbon
- Willing to learn CPA software and ability to learn new concepts quickly
- Strong knowledge of Google Drive and One Drive
- Excellent time management skills and project management skills
Pay: $18.00 - $25.00 per hour
