Duties
- Assist in managing leasing activities, including lease or rental agreement management, tenant screening, and move-in/move-out procedures
- Support property maintenance coordination by liaising with vendors, tracking work orders, and ensuring timely resolution of issues using property management tools like Yardi or OneSite
- Handle client communication with professionalism via phone, email, and in person to address inquiries, resolve conflicts, and upsell available units or services
- Maintain accurate data entry and filing of tenant records, contracts, and legal documents in compliance with Fair Housing regulations and legal administrative standards
- Aid in budgeting processes by monitoring expenses, preparing reports, and supporting financial record-keeping for property operations
- Assist with Section 8 housing programs and LIHTC (Low-Income Housing Tax Credit) compliance to ensure adherence to federal guidelines
- Support conflict management efforts by mediating tenant concerns professionally while enforcing lease policies and lease or rental agreement terms
- Contribute to facilities management tasks such as property inspections, safety checks, and basic property maintenance oversight using CMMS (Computerized Maintenance Management System)
Experience
- Proven experience in property management or real estate administrative roles, ideally within a property management company environment
- Familiarity with property management software such as Appfolio, Yardi, OneSite, or similar tools is highly preferred
- Knowledge of landlord-tenant law, Fair Housing regulations, and Section 8 housing programs is essential
- Strong customer service skills with the ability to communicate effectively across diverse audiences
- Experience managing lease agreements, contracts, and legal documentation accurately and efficiently
- Demonstrated ability to handle conflict resolution tactfully while maintaining positive relationships with tenants and team members
- Office experience involving data entry, filing systems, customer relationship management (CRM), and general administrative support
- Ability to manage multiple priorities in a fast-paced setting while demonstrating excellent phone etiquette and professionalism
