Position Overview

As a Dispatch Coordinator, you will be part of the operational command center of our service team. You will coordinate open work orders, dispatch technicians and subcontractors, manage purchase orders, and maintain accurate and proactive communication between our clients and our team. You will also hold critical responsibility over company accounts receivable, cash receipts, and collections, ensuring financial stability and operational efficiency.

This role requires a professional who thrives under pressure, communicates with authority, and takes pride in precision and accountability.

Key Responsibilities

• Coordinate and dispatch technicians and subcontractors for service orders and open calls
• Maintain and update schedules to ensure maximum efficiency and productivity
• Create and manage purchase orders for subcontractors, job materials, and truck stock
• Process accounts payable duties including GL coding, tracking of payments, and emergency requests
• Manage accounts receivable and collections, ensuring invoices are paid according to terms
• Process customer payments including cash, check, and wire transfers with full accuracy and documentation
• Maintain proactive customer contact regarding invoices, payments, and service details
• Prepare and distribute monthly customer statements and collections letters
• Assist with service operations such as answering phones, scheduling, and customer requests
• Act as the central point of communication between service managers, technicians, and clients

• Accuracy and timeliness of dispatch operations
• Efficiency in billing and accounts receivable management
• Accuracy of customer and maintenance files
• Reduction of unproductive labor or lost time

Skills and Knowledge

• Ability to communicate effectively with customers and internal teams
• Intermediate level mathematical and financial skills
• Excellent administrative, organizational, and documentation skills
• Strong time management and prioritization abilities
• Proficiency with Microsoft Office and CRM or dispatch systems
• Ability to operate as a field commander, directing technicians and resources with authority

Requirements

• Minimum high school diploma
• Minimum of 4 years dispatch experience
• Demonstrated ability to lead operational and scheduling scenarios with confidence
• Strong professional demeanor and communication skills
• Bilingual: English / Spanish
