A private family office in Boca Raton is looking for a detail driven Bill Pay and Bookkeeping Specialist to manage the day to day financial operations for a high net worth family. You'll work directly with the family's outside CPA and become the go to person for keeping payments, records and accounts accurate and on time. What you'll do
You'll own the bill pay process from start to finish: receiving and reviewing invoices, getting approvals, scheduling payments and keeping a close eye on due dates across personal, household and entity accounts. You'll also handle the bookkeeping side, which means recording transactions, reconciling bank and credit card accounts every month, and tracking expenses across multiple entities and properties.
Your relationship with the CPA matters here. You'll prepare monthly reports and supporting documentation, pull together year end and tax season packages, and answer questions as they come up. Other responsibilities include:
- Managing household payroll and vendor payments, including staff, property managers and service providers
- Tracking insurance premiums, property taxes, club dues and other recurring obligations
- Organizing receipts, statements and financial files so everything is easy to find
- Flagging anything unusual and keeping the family informed with clear, concise updates
What we're looking for
Three or more years of experience in bill pay, accounts payable or bookkeeping, ideally in a family office, wealth management firm or public accounting firm. You know your way around QuickBooks (or a similar platform), you're comfortable in Excel, and online banking and payment platforms like Bill.com don't intimidate you. Above all, you're discreet, dependable and organized enough to juggle multiple accounts without anything slipping through the cracks.
