Position Overview
We are seeking a highly organized and proactive Project Support Specialist to join our dynamic team. The Project Support Specialist supports the sales and construction teams by ensuring that all administrative components of pool contracts and construction preparation are completed accurately and efficiently. This role is essential in coordinating permit requirements, reviewing plot drawings, organizing customer information in software systems, and ensuring compliance with all contract and municipal requirements from sale through permit submission.
Key Responsibilities
- Collaborate with Sales, Project Coordinator, and Construction Management to ensure all contract documentation is complete, accurate, and ready for processing.
- Review for accuracy and ensure completion of all yard/plot drawings required for permitting and construction planning.
- Serve as the point of contact for permit requirements and questions; interpret and communicate municipal requirements to internal teams and sales staff.
- Ensure all permit documentation and prerequisites are met in accordance with both company policy and jurisdictional requirements and timelines.
- Enter customer and project information into internal software systems with attention to accuracy and completeness.
- Maintain organized records of contracts, designs, permits, revisions, and communications.
- Proactively track and follow up on outstanding items required for permit submission.
- Assist in the coordination of pre-construction preparation activities by sales staff to ensure permit readiness.
- Maintain above average rapport with city/county contacts and customers.
- Update internal reference documentation with all permit & code requirements and changes.
- Support team members with additional administrative duties as needed.
Required Qualifications
- High School Diploma or Equivalent
- Strong customer service skills with the ability to communicate clearly across internal teams and external contacts.
- Proven administrative support experience in a professional environment.
- Ability to build and maintain positive business relationships.
- Accurate data entry and document organization skills.
- Ability to manage multiple tasks with attention-to-detail and timeliness.
Preferred Qualifications
- Experience with municipal permitting or regulatory compliance processes.
- Experience in construction support, pool construction, or related field.
- Familiarity with construction drawings and plotting requirements.
Work Environment
- Primary office/retail environment.
- Frequent interaction and communication with city or county permitting departments, sales, customers, and construction team.
Job Type: Full-time
Pay: $18.00 - $23.00 per hour
Expected hours: 40 per week
