Job Summary
We are seeking a dedicated and professional Front Desk / Administrative Assistant to join our team at Recovery Ways Idaho. Recovery Ways Idaho offers a full range of behavioral health services within the Treasure Valley. The ideal candidate is the first point of contact for clients, families, and referral partners. This role plays a critical part in ensuring a welcoming and professional environment, while supporting the day-to-day operations of the clinic. The ideal candidate is compassionate, organized, detail-oriented, and able to handle sensitive information with confidentiality.

Responsibilities

Client & Visitor Support

  • Greet clients, families, and visitors with warmth and professionalism.
  • Answer and direct phone calls, emails, and inquiries in a timely manner.
  • Assist clients with intake paperwork, scheduling, and check-in/check-out processes.
  • Provide general information about clinic programs and services.

Administrative Support

  • Manage patient scheduling, cancellations, and rescheduling.
  • Maintain accurate patient records and update electronic health record (EHR) systems.
  • Assist with insurance verification, authorizations, and coordination with billing staff.
  • Prepare, scan, and file documents as needed.
  • Support clinical and administrative staff with clerical tasks (copying, faxing, data entry, etc.).

Office Operations

  • Maintain a clean, organized, and welcoming reception and lobby area.
  • Track and order office supplies as needed.
  • Coordinate incoming and outgoing mail, packages, and faxes.
  • Support with basic facility needs (printer/copier troubleshooting, vendor calls, etc.).

Qualifications

  • High school diploma or equivalent required
  • Prior administrative or front desk experience in a healthcare, counseling, or mental health setting preferred.
  • Excellent communication and interpersonal skills, with the ability to interact effectively with diverse populations.
  • Strong organizational skills and attention to detail.
  • Proficient in Microsoft Office Suite and comfortable learning electronic health record (EHR) systems. Knowledge of KIPU a plus!
  • Ability to handle confidential information with discretion and in compliance with HIPAA regulations.
  • Compassion, professionalism, and the ability to remain calm in sensitive situations.

Work Environment & Schedule

  • Standard office setting with direct interaction with clients and families.
  • Full-time, Monday–Friday, 8:00 AM – 5:00 PM.
  • Occasional flexibility may be required to meet clinic needs.

Compensation & Benefits

  • $15–$20 per hour DOE (depending on experience).
