Job Description
RPS is looking for an energetic, team-oriented, and responsible Contracts Administrator to perform a variety of Contract Administrative and clerical tasks. Duties of the Contract Administrator include providing support to our sales team, managers and employees, assisting in daily office needs, and managing company’s general administrative activities. This is an onsite role Monday – Friday.
This involves:
- Review Contracts and Details in salesforce
- Prepare new accounts contracts, forms, subscription schedules, client renewals, client revisions, activate and deactivate contracts, and kick off closing accounts in salesforce
- Linking Contract and Customer files
- Track CPI and % increases of renewals
- Update booking reports and other misc reports
- Assist with Channel Partner Agreements, and MNDA for clients
- Track and assist with GSA Schedule, verify compliance, IOA visits, IFF reporting
- Client reporting requirements (federal, state, local)
- Prepare and track Tape Services quotes, contracts, renewals
- Update AR and invoice systems with Contract updates/PO/billing changes/issues/adjustments
- Assist team with bid responses for Tape Business
- Review various data in contracts for team when requested
- Respond to CPARs and other evaluations
- Report and track Tape churn
- Assist in the office with phone calls, weekly supply orders, mail, filing paperwork and contracts, tape change forms and ID Badges, pulling reports, assisting the front desk, monthly volsers emails, be able to assist FedEx pickups/deliveries, create shipping labels
- Assist setup for occasional onsite tours/meetings, ordering setup of catering, and other administrative duties
- Support other company personnel on any miscellaneous projects or tasks as needed.
Required Skills
A Contract Administrator candidate must possess the following:
- Proven ability to communicate with customers.
- Ability to manage multiple projects at a time, and attention to detail such as dates, dollar amounts, etc.
- Excellent skills in organizational, interpersonal, facilitation, oral and written communication.
- Ability to work under minimal supervision, independently and/or as a member of a team.
- Ability to multitask and to prioritize workload.
- Must be detailed oriented: strong attention to accuracy and problem solving.
- Skills in Microsoft Office 365 Suite (Word, Excel, PowerPoint, Outlook, Teams, etc.)
- Strong working knowledge of Salesforce, including hands-on experience with its core features (e.g., CRM, dashboards, reports, workflows). Ability to navigate, manage, and leverage Salesforce to support sales and business operations effectively.
- Strong working knowledge of DocuSign
- Strong working knowledge of GSA TDR
- Strong working knowledge of CPARS
- Ability to learn other internal software.
Education/Experience
- AA minimum, BA, or BS preferred, or 5-10 years’ experience in the Contract Administration
- Experience in commercial and government contracts
- Experience working with Sales Team
- Experience in administrative duties
- Ability to satisfy a background check
