REBOOT Recovery (REBOOT) is a Christian, faith-based non-profit 501(c)3 organization that exists to help people overcome trauma through small group courses around the world. We have served over 50,000 individuals through our peer-led courses and are mobilizing the largest faith-based response to trauma and suicide ever built. 

EXPLANATION OF DUTIES 

The HubSpot & Systems Expert is responsible for designing, building, and optimizing REBOOT’s technology systems so the organization can operate clearly, efficiently, and at scale. This role ensures our tools are set up correctly, used effectively by every team, and continuously improved to reduce friction and increase performance.

This person works across all departments to create simple, repeatable systems that support revenue growth, program delivery, marketing, and operations. They also lead the integration of AI tools and automation to help REBOOT move faster and operate smarter.

This role ensures REBOOT’s systems are clear, connected, and efficient—helping every team work better and scale faster.

SPECIFIC RESPONSIBILITIES

1. Own and Optimize HubSpot

Design and maintain CRM architecture across sales, partnerships, programs, and marketing

Ensure pipelines, workflows, and data structures are clean, clear, and actionable

Build automations that reduce manual work and improve follow-through

Maintain data integrity and reporting accuracy

Provide website maintenance, SEO optimization, and technical troubleshooting for HubSpot support tickets and site updates

2. Improve System Usage Across the Organization

Train staff on how to use all technology tools effectively

Identify gaps, workarounds, and inefficiencies in how teams are operating

Simplify workflows so teams know exactly what to do and when

3. Build Cross-Departmental Systems

Work into each department (Revenue, Programs, Marketing, Operations) to understand their needs

Design systems that connect teams and eliminate breakdowns between handoffs

Create clear processes for:

Lead flow (marketing → sales → programs)

Partnership tracking and execution

Program delivery, support and retention

Ensure visibility across the organization through dashboards and reporting

4. Integrate AI and Automation Across REBOOT

Identify opportunities to use AI tools to improve efficiency and output

Implement AI agents across departments (sales, marketing, support, operations)

Help the organization adopt AI in practical, usable ways—not just theory

Explore and deploy tools such as:

Automated follow-up systems

AI-assisted content workflows

Internal knowledge and support agents

Data analysis and reporting tools

5. Drive Continuous Improvement

Regularly evaluate how systems are performing and where improvements can be made, especially cross departmentally

Stay current on best practices in CRM, automation, and AI

Proactively recommend changes that increase speed, clarity, and effectiveness

Help the organization scale without adding unnecessary complexity

COMPETENCIES AND TRAITS REQUIRED

Deep experience with HubSpot (CRM, workflows, automation, reporting)

Strong systems thinking and ability to simplify complex processes

Ability to train and support non-technical team members

Experience implementing automation and AI tools in real-world environments

High ownership and problem-solving mindset

Ability to work across teams and translate needs into systems
