OVERVIEW:
Administrative Assistant duties and responsibilities include providing administrative support to ensure efficient operation of the office. Supports managers and employees through a variety of tasks related to organization and communication. Responsible for confidential and time sensitive material. The ability to effectively communicate via phone and email ensures that all Administrative Assistant duties are completed accurately and delivered of high quality and in a timely manner.
Main Responsibilities

- Ensure timely processing of plans, permits and applications; perform follow-up phone calls to ensure timeliness of response from other departments and agencies.
- Research and communicates the status of permits to applicants.
- Organize, schedule and book travel arrangements as well as lodging.
- Complete credit applications.
- Handle insurance claims.
- Handle vendor insurance to ensure they meet company requirements.
- Answer company phones by covering the reception desk when required.
- Maintain computer and manual filing systems.
- Other duties as assigned.
Skills and Qualifications:
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.
- High School Diploma is required, associate degree from an U.S. accredited Community College is preferred.
- Must have skills in accuracy and attention to detail, including timely follow-up in expediting exceptions.
- Computer literate preferably in Microsoft (Outlook, Excel and Word)
- Superior data entry skills are a must, and experience in handling licenses and permits is preferred.
- Must be able to multi-task in fast-paced environment.
- At least 2 years of relevant work experience
- Effective interpersonal and communications skills
