Position Overview
The Operations Specialist (Mid-Level) plays a critical role in keeping our firm running smoothly. You’ll work closely with advisors, leadership, and other team members to ensure our operational workflows are efficient, accurate, and scalable as we grow.
This is not an entry-level role—you’ll be expected to bring prior experience in financial operations, client service, or back-office support and take ownership of key processes. You’ll help manage complex workflows, oversee billing processes, improve systems, and support a consistent, high-quality experience for our clients.
In this position, you’ll:
- Own and manage day-to-day operational workflows
- Help oversee billing across complex fee structures and client segments, primarily using Advyzon
- Maintain accurate data in our CRM and portfolio systems
- Help design, document, and improve processes that enhance efficiency and client experience
This role blends technical, systems-focused work with cross-team collaboration—offering a path to more advanced operations, compliance, or practice management responsibilities within the firm.
What We’re Looking For
Education
- Bachelor’s degree required; focus in Business, Finance, Operations, or a related field preferred
Experience
- 5-7 years of experience in financial services operations, back-office, client service, or a similar role
- Experience with billing processes, including fee calculations, billing reconciliations, and handling complex billing scenarios, strongly preferred
- Familiarity with RIA operations, custodians, or advisory firm workflows strongly preferred
Certifications
- Industry licenses or coursework a plus (e.g., Series 65, financial planning, operations, or project management education)
Skills & Attributes
- Strong organizational skills and attention to detail
- Solid analytical and problem-solving abilities; able to troubleshoot operational and billing issues independently
- Excellent written and verbal communication
- Comfortable working in a fast-paced, collaborative environment
- Proficiency with Microsoft Office and Google Workspace
- Experience with Advyzon or a similar portfolio management/billing system strongly preferred
- Familiarity with CRMs or workflow tools (e.g., HubSpot, Advyzon, or similar systems) is a plus
- Process-minded: you notice inefficiencies and enjoy improving systems
- Passionate about supporting a mission-driven firm and delivering a high level of service to both internal teams and clients
Key Responsibilities
- Manage and execute daily operational workflows to support advisors and clients
- Maintain clean, accurate client and account data across systems (Advyzon, eMoney, HubSpot, custodial platforms, etc.)
- Manage and support the firm’s billing processes, including:
- Setting up and maintaining fee schedules and billing groups in Advyzon
- Running billing cycles and reviewing invoices for accuracy
- Reconciling billing data with custodial and internal records
- Troubleshooting and resolving billing discrepancies or client billing questions
- Prepare and coordinate operational and client service materials for meetings and reviews
- Monitor tasks, service tickets, and key deadlines to ensure nothing falls through the cracks
- Identify opportunities to streamline and standardize processes; help document and implement improvements
- Collaborate with advisors and team members to resolve operational issues efficiently
- Assist with reporting, data audits, reconciliations, and quality control
- Support compliance- and process-related initiatives as needed
- Contribute to a positive, team-oriented culture and help reinforce best practices across the firm
Note: This role requires a high level of accuracy, ownership, and a proactive mindset. You’ll be trusted to manage important workflows—including billing—and help drive continuous improvement in how we operate.
Compensation Overview
This position offers a starting base compensation range of approximately $65,000 – $80,000, depending on experience, technical skills, and readiness to take ownership of key operational and billing workflows.
- Candidates at the lower end of the range (around $65,000) typically have solid experience in financial services or operations and some exposure to billing and portfolio systems, with strong potential to grow into more complex responsibilities.
- Candidates at the higher end of the range (up to $80,000) demonstrate significant RIA or financial operations experience, are comfortable managing complex billing structures in systems like Advyzon, and can lead process improvement and cross-functional initiatives with minimal supervision.
- Performance-based incentives are available, including eligibility for company bonuses tied to individual and firm-wide results.
Additional compensation growth is available as you progress within the firm and advance into Senior Operations Specialist, Compliance/Operations, or Practice Management roles.
