Position Overview
We are looking for a reliable, professional, and friendly receptionist to manage our front desk, support our legal team, and ensure smooth day-to-day office operations. The ideal candidate is organized, personable, and comfortable communicating with clients who may be injured, stressed, or unfamiliar with the legal process.
Key Responsibilities
- Greet clients and visitors with warmth and professionalism
- Answer incoming calls, route messages, and manage voicemail
- Schedule consultations, follow-ups, and attorney meetings
- Check in clients and ensure intake documents are completed
- Maintain an organized reception area and conference rooms
- Assist with incoming/outgoing mail, scanning, filing, and case file organization
- Provide administrative support to attorneys and case managers as needed
- Uphold strict confidentiality and handle sensitive information appropriately
Required Qualifications
- Fluent in Spanish and English (required)
- Strong communication and interpersonal skills
- Comfortable handling a high volume of calls
- Organized and detail-oriented with the ability to multitask
- Proficiency with computers, scheduling systems, and basic office equipment
- Intake experience is a plus!
Preferred Qualifications
- Prior experience in a law firm, medical office, or customer-facing administrative role
