Rebar is building the next-generation operating system for commercial HVAC, electrical, and plumbing suppliers and subcontractors. Over the past year, our V1 quoting product has scaled to thousands of quotes completed weekly, doubled revenue six weeks into 2026, and gained adoption across many of the top suppliers in North America. Fresh off a $14M Series A backed by leading construction tech investors, we're entering our next phase of growth, and we are looking for an Administrative Assistant to support our team.
You’ll work directly with the CEO & CoS as well as every team to support smooth day-to-day operations of the company and will serve as a key partner across HR, finance, and executive support functions. We’re transforming the $250B HVAC industry with AI-native software - an industry still largely untouched by modern tools. This is your chance to get in early.
About the Role
We're looking for a sharp, proactive Administrative Assistant to become the operational backbone of our team. This is a high-trust, high-visibility role - you'll be a key partner to the executive team and the person who ensures our people, systems, and day-to-day operations run without friction. If you're someone who anticipates needs before they're voiced and takes genuine ownership of the details, this role is for you.
What You'll Do
- Partner closely with the executive team on calendar management, logistics, and communications - keeping leadership focused on what matters most
- Own the end-to-end onboarding and offboarding experience for employees, from scheduling to platform setup to equipment procurement
- Manage company-wide travel arrangements and expense tracking, ensuring everything runs smoothly and stays compliant
- Serve as the primary point of contact for benefits questions and proactively support employee enrollment
- Maintain and improve internal systems and processes as we scale
What We're Looking For
- 2 years in an administrative, EA, or office management role
- A team player / no job is too small type of attitude
- Exceptionally organized with strong written communication and sharp attention to detail
- A proactive self-starter who follows through without being asked
- Comfortable juggling multiple priorities in a fast-moving environment
- Proficient in Google Workspace; familiarity with HubSpot is a plus
