JOB DESCRIPTION And RESPONSIBILITIES
The Accounts Payable Property Accounting Manager is responsible for overseeing property accounting payables activity and ensuring vendor records and payables documents are maintained for all clients. Accounts Payable Manager reports directly to the Director of Property Accounting. Specific responsibilities include:
- Plans, organizes, and is responsible for all payables activities.
- Trains and oversees Accounting Specialists assigned to the payables department.
- Communicates with Property Managers and Property Accounting team regarding approval and accuracy of invoices received.
- Maintains all policy and procedures for payables ensuring compliance by team members.
- Ensures that all invoices are paid in a timely manner.
- Compiles and maintains W-9s and Certificates of Insurance for vendors. Monitors critical date tracking of renewals and validation of vendor FEIN via IRS website.
- Communicates with vendors via phone, email, and mail.
- Reviews vendor statements and follows up on any missing invoices.
- Initiates yearend 1099 process and automation.
- Files 1099s on IRS Fire website annually.
- Provides 1099 reports by deadline specific to each MSA client.
- Oversees Yardi software updates/upgrades to maintain efficiency in processing.
- Assists with Accounting Business Development upon request
- Provides backup and/or assistance for various administrative duties as needed.

- Bachelor's degree in Accounting, Finance, Business Administration, or related field is required.
- Minimum of 5 years of relevant experience and/or training in the accounting field and commercial real estate industry and/or property management fields is preferred.
- Proficient with Microsoft Office Suite, including Word, Excel, PowerPoint, Adobe. Yardi Property Management Software experience preferred. Typing and Keyboard with efficiency.
- Client / Project Work – 85%
- Administrative – 10%
- Business Client Development – 5%
