We are looking for a highly organized, detail-oriented Transaction Coordinator (TC) to support a top-producing luxury real estate team on the Peninsula. This is a fast-paced, high-volume environment where precision, responsiveness, and strong communication are key. Ideally based in California (Bay Area preferred), the ideal candidate must be familiar with California contracts, timelines, and local practices.
About the Role
You will be the backbone of our transaction and listing operations—ensuring every file is complete, every deadline is met, and every client experience is seamless.
Key Responsibilities
Transaction Management
- Manage transactions from contract to close
- Track and maintain all escrow timelines and deadlines
- Coordinate with escrow, lenders, agents, and clients
- Ensure compliance with brokerage requirements (SkySlope, DocuSign, etc.)
Offer Preparation
- Draft and assemble complete offer packages
- Review contracts for accuracy and completeness
- Coordinate signatures and submission timelines
Disclosures & Listing Prep
- Assemble full disclosure packages (Disclosures.io)
- Order and organize inspections, reports, and documents
- Ensure all materials are complete prior to going live
Escrow & Timeline Management
- Create and manage detailed escrow timelines
- Proactively track contingencies, deposits, and key dates
- Send updates and reminders to all parties
Calendar Management
- Add and manage all key dates in Google Calendar
- Offer deadlines
- Contingency removals
- Deposit due dates
- Close of escrow
- Inspections, appraisals, walkthroughs
Operations Support
- Maintain organized Dropbox file systems
- Coordinate vendors (inspectors, stagers, photographers)
- Assist with general listing and transaction operations
Ideal Candidate
- 2 years experience as a real estate TC (California preferred)
- Strong knowledge of CAR contracts and timelines
- Extremely detail-oriented and organized
- Proactive, responsive, and able to manage multiple transactions
- Comfortable in a fast-moving, high-expectation environment
- Tech-savvy: Google Workspace, DocuSign, SkySlope, Disclosures.io, Dropbox
