Position Summary
The Broker Care Concierge provides concierge-level administrative support to the Office Manager, Branch Manager, and affiliated brokers. Responsibilities include assisting with listings, marketing materials, internal systems, and maintaining a welcoming and professional office environment. This role requires strong customer service skills, attention to detail, and a proactive approach to supporting daily office operations. The Broker Care Concierge reports directly to the Branch Office Manager.
Role & Responsibilities
Office Support
- Assist the Office and Branch Managers with office-related projects detailed in monthly sales meetings.
- Support office events, meetings, and celebrations by coordinating logistics, assisting with setup/cleanup, and handling technical needs as requested.
- Perform opening and closing duties (e.g., lights, TVs, doors, refreshments, flyer boxes).
- Greet and assist all visitors and brokers in a warm, professional manner; answer phone calls and manage office communication.
- Update and maintain in-house marketing materials such as A-board flyers, window flyers, magazines, etc.
- Ensure the office, kitchen, restrooms, and entryways are clean, stocked, and presentable at all times.
- Monitor and maintain office equipment (copiers, computers, video screens, iPads, etc.) and report or troubleshoot issues as needed.
Broker Support
- Deliver concierge-level customer service to all brokers and visitors.
- Maintain excellent and personable broker relations and customer service to brokers through consistent, pertinent communication via email, phone call or in person.
- Enter and manage listing data in NWMLS and RSIR Connect; verify information against Listing Input Forms (LIP).
- Coordinate sign installations and removals with signage vendors at broker request.
- Ensures that all listing changes and issues are recognized and have final approval by the broker
- Uploads high-resolution listing photos and details of listings, features, and remarks
- Perform initial review of listing documents and route to Branch Manager for approval.
- Monitor RSIR Connect tasks daily to manage broker listing support and quality control.
- Fulfill templated marketing requests (brochures, flyers, talkers, window displays, etc.), prioritizing time-sensitive needs.
- Review listings on syndication platforms for quality control; resolve issues as needed.
- Provide guidance on RSIR Connect and NWMLS platforms to brokers when necessary.
- Assist and/or train brokers on the various marketing platforms available to them (ActivePipe, Amp, Design
Vault, XpressDocs, MPresents, etc.).
- Guide brokers with printer functionality and assist with any issues.
- Prepare, print, and bind broker-approved materials such as feature sheets, CMAs, and listing presentations.
- Provides staff support and back up to other branch Broker Care Staff, as needed.
- Send timely reminders to brokers about upcoming expiring listings, seller reports, etc.
- Cross-check listing expiration dates across all platforms to ensure accuracy.
Your Commitment
- This position is permanent, full-time, and operates within business hours at the branch location. Flexibility to respond to broker needs after hours or on weekends may be required.
- Occasional travel to other RSIR offices may be requested to support events or provide office coverage.
Measurements of Success
- Consistently receives 4-5 star feedback from brokers for responsiveness and service.
- 100% of document review tasks completed prior to end of each weekend.
- All new listings launched in NWMLS are input into RSIR Connect with corresponding documents on the same day.
- All incoming email requests and listing changes are addressed daily, measured through RSIR Connect, MLS, and Outlook.

- Advanced knowledge of office management responsibilities, systems and procedures
- Familiarity with real estate operations and marketing tools a plus.
- Must have strong initiative and able to work independently with minimal supervision
Required Experience:
- High School Diploma or equivalent is required
- Previous administrative experience
- Real estate industry knowledge preferred
