We’re seeking a proactive and detail-oriented Facilities/Operations Coordinator to join our team and assist in overseeing daily property operations and maintenance coordination.


Job Type:

Open to Full-Time and Part-Time candidates


Key Qualifications:

  • Ability to multitask, prioritize, and meet deadlines in a fast-paced environment


  • Strong analytical and problem-solving skills


  • Excellent attention to detail and organizational skills


  • Proficient in Microsoft Outlook, Excel, and Word


  • Strong communication and coordination abilities


  • Experience working with vendors, contractors, and building management


  • Knowledge of building systems, maintenance procedures, and safety protocols


  • Ability to work independently while maintaining close collaboration with internal teams


  • Professional and customer-service-oriented demeanor


Job Responsibilities:

  • Maintain ongoing repair and maintenance logs for multiple properties


  • Obtain and review proposals and quotes for maintenance and repair projects


  • Coordinate with contractors and vendors to schedule, monitor, and oversee onsite work


  • Track and document the progress of repairs and maintenance for timely completion


  • Conduct periodic property inspections to assess building systems and conditions


  • Maintain and confirm key control and lockbox systems at each property


  • Manage equipment and supply inventories (e.g., snow supplies, batteries, filters, etc.)


  • Ensure compliance with safety, maintenance, and property standards


  • Assist with preventative maintenance scheduling and vendor performance reviews


  • Support operations and property management teams on capital projects and building improvements


  • Prepare and maintain maintenance reports and records for internal review


  • Communicate effectively with property owners, tenants, and service providers


  • Perform additional administrative and operational support tasks as assigned
