Role Overview
The Maintenance Manager will own all city and municipal occupancy renewal inspections across the portfolio, perform minor on-site repairs, working closely with the local Maintenance Coordinator and Property Managers to keep properties compliant, safe, and well-maintained.
You'll be the company representative who shows up when the city calls for an inspection, the person who fixes the small stuff on the spot so it doesn't become a bigger problem, the friendly, professional face residents and clients interact with directly, the one who knows which local vendors to trust when a job needs to be outsourced, and the manager who directs and supports our Maintenance Coordinator day to day.
Core Responsibilities
City Inspections & Compliance
- Attend and manage all city/municipal inspections (code enforcement, permit inspections, fire/safety, rental licensing renewals)
- Own and track the inspection calendar across the full portfolio
- Walk properties ahead of scheduled inspections to catch and fix obvious issues proactively
- Serve as the direct point of contact with city inspectors and officials
- Coordinate and attend re-inspections when needed
Maintenance & Repairs
- Perform minor repairs on the spot (patch drywall, fix leaks, replace smoke/CO detectors, tighten railings, address common code-violation items, etc.)
- Diagnose issues in person and determine what can be handled immediately versus what should be routed to the Maintenance Coordinator for outsourced vendor dispatch
- Support the Maintenance Coordinator on larger-scope work or anything requiring a licensed trade (electrical, plumbing beyond minor fixes, gas, HVAC, roofing)
- Ability to take emergency call shifts for immediate action during non business hours to mitigate damage/loss of managed properties
- Other duties as assigned
Team Management
- Serve as the Maintenance Coordinator's escalation point for decisions, unusual issues, or judgment calls
Vendor Management
- Build and maintain a local pool of qualified, reliable vendors and contractors (electricians, plumbers, HVAC, roofing, etc.) for work that falls outside this role's scope
- Vet new vendors for licensing, quality, and reliability before they're added to the pool; conduct on-site quality checks on completed vendor work
- Maintain relationships with existing vendors; be the local, in-person point of contact they know and trust
- Flag underperforming vendors and help source replacements as needed
Resident & Client Communication
- Serve as a local point of contact for residents during inspections, repairs, and site visits; answering questions, setting expectations on timelines, and keeping interactions professional and courteous
- Notify residents in advance of scheduled city inspections or repair visits, and coordinate access/entry as needed
- Communicate directly with property owners/clients on inspection outcomes, violation status, and repair updates when needed
What We're Looking For
- Ability to act and operate independently with minimal daily direction from manager to accomplish objectives
- Proficiency with email and Google Office applications
- Ability to work cooperatively and collaboratively with all levels of employees, management, and external agencies to maximize performance, creativity, problem solving, and results
- 1 Year of Property Management experience or similar field, preferred
- Use of Appfolio or similar Property Management software, preferred
- General maintenance/handyman experience; you don't need to be a licensed tradesperson, but you should be comfortable and competent handling common residential repairs
- Basic knowledge of electrical, plumbing, or HVAC systems (even if not licensed)
- Familiarity with city required inspections, permitting, and rental licensing processes strongly preferred
- Good judgment on when to fix something yourself versus escalate it; this matters as much as hands-on repair skill
- Comfortable serving as the face of the company with city inspectors and officials
- Strong organizational skills; able to track inspection deadlines and follow-ups across a large portfolio without things falling through the cracks
- Clear, consistent communicator
- Strong interpersonal skills; comfortable interacting directly and professionally with residents, property owners/clients, and city officials, sometimes all in the same day
