REPORTS TO: Director of Catering

SUPERVISES DIRECTLY: N/A

Purpose for the Position: Manages the execution of all aspects of events to include planning, day-to-day coordination and exit strategies.

Essential Responsibilities

  • Serves as meeting planning advocate and liaison to all operational departments.
  • Verifies on-site delivery of hotel products and services according to conference group plans resulting in a positive meeting experience.
  • Advises client on status of events and function and coordinates any changes necessary.
  • Maintains program knowledge by attending planning meetings, conference calls, reviewing group resumes and banquet event orders (BEO's) prior to group arrival.
  • Attends planning visits, welcome receptions, tie-down meetings, and any internal meetings related to security, parking and/or production.
  • Proactively resolves potential client, meeting or room set issues.
  • Ensures their property events have a seamless turnover from sales to service back to sales. Recognizes opportunities to maximize revenue opportunities by up-selling and offering enhancements to create outstanding event.
  • Monitors all contractual agreements pertaining to rooms, meeting space, beverage and food and special concessions
  • Acquire full knowledgeable understanding of the program and assist when creating reslinks
  • Assists in the sales process and revenue forecasting for customer groups
  • Forecasts group room blocks, meeting space and event revenue (catering and audio visual) for his/her groups
  • Solicits feedback from the property departments to identify areas for improvement to enhance the Event Planner's experience
  • Leads pre-event and post-event meetings for assigned groups
  • Greets customer during the event phase and hands-off to the Event Operations team for the execution of details
  • Ensures billing accuracy and conducts bill reviews with the clients prior to processing the final bill with guest's signature prior to departure
  • Manages customer budgets to maximize revenue and meet customer needs
  • Uses his/her judgment to integrate current trends in event management and event design
  • Acts as liaison between field salesperson and customer throughout the event process (pre-event, event, post-event)
  • Implements approved sales plan as directed
  • Participates in customer site inspections and assists with the sales process as necessary
  • Maintains current filing system account and prepares required reports as requested
  • Attends industry and community events
  • Coordinates and communicates event details both verbally and in writing to the customer and property operations
  • Follows up with customer post-event
  • Participate in trainings and other sales-related meetings as required
  • Adheres to all standards, policies, and procedures in compliance with brand and RHG
  • Performs other duties as assigned to meet business needs

To do this kind of work, you must be able to:

  • Deliver excellent customer service throughout the customer experience and encourages the same from other employees.
  • Use personal judgment and expertise to enhance the customer experience and solve problems
  • Effectively communicate with client, sales team and those producing the event.

Physical Demands: Lifting 20 lbs. maximum with frequent lifting and/or carrying of objects weighing up to 10 lbs. Requires walking or standing to a significant degree, talking, hearing, seeing.

Environmental Conditions: Inside: Protection from weather conditions but not necessarily from temperature changes. A job is considered "inside" if the worker spends approximately 75% or more of the time inside.

Math Skills: Requires mathematical development to: Compute discounts, interest, profit and loss, commission, markups and selling price, tax, gratuity, and percentages.

Language Skills: Must have developed language skills to the point to be able to: Read newspapers, periodicals, journals, and manuals. Write business letters, summaries and reports using prescribed format and conforming to all rules of punctuation, grammar, diction, and style. Participate effectively in discussions and debates. Speak extemporaneously on a variety of subjects.

Specific Vocational Preparation

High school diploma or GED; experienced (1 - 2 years of experience) in the event management or related professional area.

OR

2-year degree from an accredited university in Hotel and Restaurant Management, Hospitality, Business Administration, or related major; at least 1-year experience in the event management or related professional area required.

Data: Coordinating: Determining time, place, and sequence of operations or action to be taken on the basis of analysis of data; executing determination and/or reporting on events.

People: Supervising: Determining or interpreting work procedures for a group of workers, assigning specific duties to them, maintaining harmonious relations among them and promoting efficiency. A variety of responsibilities are involved in this function. Creating strong relationships with potential clients and the general public.

Things: Handling: Using body members, hand tools, and/or special devices to work, move, or carry objects or materials. Involves little or no latitude for judgment with regard to attainment of standards or in selecting appropriate tools, objects or materials.
