Reporting to the Director, Compensation & Total Rewards, this position collaborates closely with the Compensation Manager, Finance, Legal, and HR teams and oversees vendor management, compliance reporting, employee communications, and systems integration.
Duties/Responsibilities:
Benefits Administration
- Design, implement, and manage employee benefit programs including medical, dental, vision, life, disability, wellness, and retirement plans.
- Oversee the company’s self-funded medical insurance programs including stop-loss policies, claims analysis, renewals, and cost containment.
- Regularly evaluate and enhance benefit offerings for competitiveness, employee engagement, and alignment with total rewards strategy.
- Serve as the primary contact for brokers, TPAs, insurance carriers, and other vendors; negotiate renewals and ensure service levels.
- Conduct benefit plan audits and ensure accurate and timely processing of ACA reporting (e.g., Form 1095).
- Partner with Finance on budgeting, forecasting, and financial analysis for benefits and retirement programs.
- Ensure compliance with ERISA, ACA, HIPAA, COBRA, and other applicable regulations.
- Champion wellness programs to promote employee well-being and a healthy work-life balance.
- Partner with engagement teams to design initiatives that address employee health needs and align with organizational culture.
- Evaluate and adjust wellness programs based on participation data and employee feedback
- Administer all leave programs including FMLA, ADA, personal leaves, and state-specific leaves.
- Oversee parental pay and ensure consistent application of leave policies.
- Maintain compliance with federal and state laws governing leaves.
- Lead annual open enrollment strategy and execution, including planning, communication, and employee education.
- Conduct live and virtual sessions to explain benefit options and changes.
- Support onboarding processes related to benefit elections and payroll deductions.
- Oversee benefits administration in the HRIS system, ensuring accuracy, efficiency, and data integrity.
- Collaborate with HRIS and Payroll to implement improvements and resolve system issues.
- Provide training and support to HR team members on system use and data entry standards.
- Manage retirement plans in partnership with Finance, including audits and regulatory reporting.
- Stay informed of trends and ensure alignment with industry standards and employee needs.
- Develop and lead training sessions on benefits, ADA, wellness, and related topics for HR and field leaders.
- Maintain and update SOPs for all areas of responsibility including onboarding, terminations, and benefits processes.
- Provide guidance on benefits practices and legal updates to ensure team alignment and knowledge retention.
- Respond to employee benefit inquiries with a focus on clear communication and timely resolution.
- Coordinate ADA accommodation processes with Legal and HR, ensuring compliance and sensitivity to employee needs.
- Promote an inclusive workplace by supporting equitable access to benefits and accommodations.
- Ensure ongoing compliance with federal, state, and local laws related to benefits, leaves, wellness, ADA, and retirement.
- Oversee all required reporting including Form 5500, ACA filings, non-discrimination testing, and internal audits.
- Maintain updated plan documents and communicate policy changes across the organization.
- Manage relationships with all benefits and leave-related vendors including brokers, TPAs, and carriers.
- Evaluate vendor performance and address service concerns.
- Negotiate contracts to ensure competitive pricing and value-added services.
- Continuously assess and refine processes for benefits administration, leave, and wellness initiatives.
- Support the Director, Compensation, Payroll Strategy & Total Rewards with cross-functional projects and strategic initiatives.
- Collaborate with HR, Payroll, and Finance to ensure seamless integration of benefits and compensation data.
- A Bachelor's degree in human resources, business, or a relevant field, or a minimum of 7 years of equivalent work experience.
- SHRM Certified Professional (SHRM-CP), Senior Certified Professional (SHRM-SCP), or HRCI equivalent is preferred.
- At least 5 years of progressive experience in benefits management or a related role.
- Demonstrated experience in leading open enrollment processes and managing HRIS benefits administration.
- Knowledge of laws and regulations as they apply to base compensation and incentive compensation programs, company policies, and operations.
- In-depth knowledge of employee benefits, ADA accommodation processes, FMLA leave, wellness programs, retirement plan management, onboarding, and termination processes.
- Strong analytical skills and ability to interpret and communicate data.
- Computer proficiency and technical aptitude with the ability to use Microsoft products, including Excel.
- Effective time management skills and ability to manage multiple tasks.
- Effective written and oral communication skills.
- Bi-lingual proficiency in Spanish is a plus.
- Demonstrated consistent high attention to detail and accuracy.
