We need a Director of Operations who can match our pace, protect our standards, and help us scale without missing a beat.
The Role
The Director of Operations is the engine behind the team. You’ll own the systems, processes, and day-to-day operations that allow our agents and leadership to focus on clients and growth. This is a hands-on, in-office leadership role — you’ll be equal parts strategist and executor. If you let things fall through the cracks, this is not the role for you.
Requirements — Non-Negotiable
∙ Active New Jersey Real Estate License (required — applications without one will not be considered)
∙ Minimum 25 hours per week, in-office — this is not a remote or hybrid position
∙ Hands-on experience with Lofty CRM, Canva, and Google Suite — you must be proficient and ready to work in these platforms from day one; training on basics will not be provided
∙ Exceptional attention to detail — you catch errors before they become problems, you read the fine print, and you hold yourself to a high standard of accuracy in everything you produce
What You’ll Own
∙ Design, implement, and optimize all operational systems and workflows across the transaction, marketing, and client experience lifecycle
∙ Manage and maintain Lofty CRM — contacts, pipelines, automations, and team accountability within the platform
∙ Manage transaction coordination from contract to close — every deadline, document, and detail tracked and executed with precision
∙ Create and manage marketing assets in Canva — social graphics, listing materials, presentations, and team collateral
∙ Oversee all team communications and document management within Google Suite (Gmail, Drive, Docs, Sheets, Calendar)
∙ Oversee vendor relationships, referral partner communications, and third-party service providers
∙ Build and maintain SOPs, checklists, and training documentation for all team functions
∙ Track KPIs and produce regular reporting for team leadership on pipeline, productivity, and performance
∙ Support agent onboarding, accountability, and day-to-day team coordination
∙ Identify gaps or upgrades in the technology stack and make recommendations
∙ Serve as the primary point of contact for operational issues — fielding, resolving, and documenting them thoroughly
What We’re Looking For
∙ 3 years of operations experience, preferably in real estate, property management, or a service-based business
∙ Active NJ real estate license (see above)
∙ Demonstrated proficiency in Lofty CRM, Canva, and Google Suite — list your experience explicitly in your application
∙ Meticulous attention to detail — this will be tested; errors in your application are a red flag
∙ Strong project management skills — you finish what you start and keep others accountable
∙ Exceptional written and verbal communication skills
∙ Discreet, professional, and trustworthy — you’ll have access to sensitive client and financial information
∙ Self-starter who thrives without micromanagement
Bonus Points
∙ Experience supporting a team lead, broker, or executive
∙ Familiarity with transaction coordination and compliance processes
∙ Background in a fast-paced, client-facing service environment
