We specialize in real estate development and retail store management and are seeking an Office Assistant/Receptionist to join our office team and provide support to our day to day operations. The Office Assistant will play a key role in supporting our real estate development and retail store management teams. This role is ideal for someone who is detail-oriented, proactive, has great customer service and enjoys working in a fast-paced environment.
Hours: Full-time in-office, Monday to Friday, 8:00 am–4:30 pm. This position includes remote Saturday shifts (8:00 am–9:00 am), scheduled on a rotating basis or based on operational needs and staffing availability.
Responsibilities Include:
- Greeting and assisting guests and managing incoming/outgoing mail.
- Managing the amenities of the office and conference room and maintaining schedules.
- Answering and directing phone calls and emails, and responding to inquiries in a timely manner.
- Communicating professionally with field employees, contractors, customers and vendors.
- Organizing and maintaining files and documents, both digitally and physically.
- Reconciling cash and credit transactions, retail sales and inventory, and cash drawers of multiple retail stores.
- Identifying and correcting data discrepancies, shortages, etc.
- Assisting with accounts payable, accounts receivable and billing.
- Assisting with payroll and Human Resources.
- Assisting with license renewals, inspections and insurance certificate tracking.
- Maintaining multiple spreadsheets, logs and databases.
- Assisting management with tasks as assigned.
Requirements Include:
- Previous experience in a back-office, administrative, or retail setting is preferred.
- Proficiency in Microsoft Office Suite and Google Drive; familiarity with point-of-sale (POS) systems is a plus.
- Previous QuickBooks desktop experience a plus.
- Strong attention to detail and organizational skills.
- Basic math skills.
- Ability to work independently, prioritize tasks, and meet deadlines.
- Excellent communication skills and the ability to collaborate with the team and vendors.
- Ability to maintain confidentiality and handle sensitive information appropriately.
Pay: $17.00 - $21.00 per hour
