Office Assistant – Document Preparation
Pay: depending on experience and qualifications
An established professional document-preparation office in Northeast Georgia is seeking a dependable, detail-oriented individual to join our small office team.
We are willing to train the right person.
Previous office experience is helpful, but it is not our primary consideration. We are looking for someone with a strong work ethic, excellent reading comprehension, good keyboard skills, proficiency with Microsoft Office, and a positive, team-oriented approach to their work.
Responsibilities
- Process new client files from intake through document preparation
- Type and prepare documents accurately from information provided
- Read and compare documents to identify discrepancies or missing information
- Proofread names, dates, addresses, numbers and other important details
- Review emails, forms and supporting documents to determine what information is needed
- Answer incoming telephone calls and assist clients confidently, patiently and courteously
- Communicate clearly and professionally with clients and other parties by telephone and email
- Work extensively in Microsoft Word and other Microsoft Office applications
- Maintain organized electronic and paper files
- Follow established office procedures and checklists
- Assist coworkers and share responsibility for the daily workload
Qualifications
Excellent reading comprehension is essential for this position.
Our work requires more than typing or data entry. The right candidate must be able to carefully read information from multiple sources, understand what they are reading, compare details, recognize when something does not match, and ask questions when something does not make sense.
Professional and courteous client communication is equally important to our office. The person in this position will communicate directly with clients by both telephone and email. We expect every client interaction to be handled with patience, respect, and professionalism. The right candidate should be comfortable speaking with people, listening carefully to their questions or concerns, and communicating information clearly and courteously.
We are looking for someone who:
- Is dependable and takes pride in doing a job correctly
- Has strong reading comprehension and excellent attention to detail
- Has good keyboard skills with an emphasis on accuracy
- Is proficient with Microsoft Office, particularly Word and Outlook/email
- Is comfortable learning and working with different computer programs

- Has strong written communication skills and uses good grammar and professional business language
- Is patient and courteous when assisting clients, including when questions or situations require additional explanation
- Can follow detailed written procedures
- Learns well and accepts instruction and feedback
- Can work independently while also being a genuine team player
- Is willing to step in and help wherever needed
- Understands the importance of confidentiality when handling client information
We are more interested in aptitude, attitude, reliability, accuracy and willingness to learn than a specific employment background.
Schedule
This position will initially be approximately 30–32 hours per week.
We offer flexibility in arranging daytime work hours. A schedule that generally coincides with school hours may be considered.
Regular and dependable attendance during the agreed-upon schedule is important.
Training
Training will be provided in our document-preparation procedures and office workflow. We are looking for someone who brings the underlying skills that matter most: careful reading, communication, organization, teamwork, accuracy, and a willingness to learn.
