General Summary:                                                                                                           

 We are seeking a dynamic, highly motivated team member for the position of Executive Assistant.  The Executive Assistant will be responsible for providing exceptional, high level support to the Principal Engineer in a fast-paced environment in addition to all other team members as needed. The position works closely with the Principal Engineer and provides high quality, timely executive assistance that requires a significant level of trust, self-discipline, and confidentiality.



Essential Job Functions:


  • Supports the Engineering Manager and all other team members as assigned for the purpose of providing assistance with their administrative functions.
  • Contributes to maintaining compliance with licensing requirements
  • Maintain confidentiality of sensitive information
  • Prepare and edit confidential documents
  • Establish positive relationships with internal and external clients
  • Comply with local and state laws
  • Coordinate internal/external events
  • Process incoming/outgoing mail, UPS and FedEx
  • Assist with ordering and maintaining supplies
  • Arrange meetings, tasks, travel as needed
  • Utilize Microsoft Office software
  • Utilize effective written and oral communication
  • Have a strong work ethic and be a self-starter, able to effectively manage multiple priorities and adapt to change within a fast-paced environment
  • Contribute to employee engagement initiatives
  • Must have valid driver’s license and be able to operate motorized vehicles
  • Regular, reliable, consistent, and punctual attendance is required
  • Perform other duties and responsibilities as required to fulfill job function or as assigned

  • Skill to use tact, discretion, and diplomacy when dealing with sensitive situations and concerned property owners

  • Ability to maintain confidential information
  • Ability to exercise independent thinking, creativity, and initiative
  • Ability to work independently
  • Ability to work well under pressure
  • Ability to offer quick resolution to assigned projects
  • Ability to adapt to various situations as they arise
  • Demonstrate ability to communicate well with a positive & friendly manner both orally and in writing
  • Demonstrate the ability to accept responsibility for and work under occasional stressful situations with frequent interruptions
  • Demonstrate desire to learn new skills as technologies change
  • Demonstrate the ability to multi-task



Education and Experience:   

 

  • Associate’s degree in related field and/or two (2) years of applicable work experience
  • Office suite software (including Microsoft Word, Excel, and Outlook)
  • Must have a valid driver’s license and be able to operate motorized vehicles
  • Notary Public license preferred

Lifting & Moving/Pulling/Pushing: frequently lift and move up to 10 pounds and occasionally life and move up to 25 pounds and infrequently move up to 50 pounds. 0-24%


Fingering/Grasping/Feeling: Must be able to write, type, and use phone system. 75-100%
