Overview
We are seeking a highly motivated and detail-oriented Office Administrator to join our team. This role requires strong organizational skills, excellent communication abilities, and a proactive mindset to support both office operations and client/agent relations. You will be responsible for managing office functions, supporting broker and team members, and enhancing overall productivity.
Key Responsibilities
- Provide administrative support to ensure efficient operation of the office
- Answer and direct phone calls, greet visitors, and respond to inquiries professionally
- Make outbound calls, conduct follow-up, and report on results
- Perform data entry tasks, including updating and maintaining databases
- Assist with customer service inquiries and deliver exceptional support to clients/agents as well as broker
- Schedule appointments, manage calendars, and organize events/meetings
- Perform general clerical duties such as photocopying, emailing, mailing
- Maintain & audit office files/transactions online
- Maintain office supply inventory and place orders when necessary
- Create, post, and manage content on social media platforms (Facebook, Instagram)
- Assist in producing marketing materials and supporting outreach efforts
Qualifications
- Proven experience as an office administrator (real estate industry experience preferred but not required)
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint)
- Excellent written and verbal communication skills
- Strong organizational skills with the ability to multitask and prioritize effectively
- Ability to maintain confidentiality and handle sensitive information with discretion
- Comfortable making phone calls and engaging with local agents
- Working knowledge of social media platforms such as Facebook and Instagram
