The Legal Administrative Assistant, Default Operations provides essential administrative and operational support to the RCN Capital's Default and Legal teams, ensuring timely, accurate, and compliant processing of default-related activities and day-to-day legal operations This role is responsible for managing documentation, coordinating communications, tracking filings, and supporting internal and external stakeholders.
The ideal candidate is highly organized, detail‑oriented, and comfortable handling multiple priorities in a deadline‑driven environment while following established processes and procedures. This position plays a critical role in keeping default operations running smoothly by serving as a central point of coordination for correspondence, filings, reporting support, and general administrative tasks.
Primary Responsibilities:
- Review, approve, and enter invoices on a regular basis, ensuring no invoice exceeds thirty (30) days past the invoice date unless there is a pending question or issue
- Communicate directly with counsel to resolve invoice discrepancies
- Coordinate with counsel and servicing when charges occur after loan sale
- Manage the default email inbox daily by reviewing, organizing, and filing emails into designated folders
- Ensure time‑sensitive messages are routed directly to the appropriate paralegal when needed
- Prepare and send required referral documentation to attorneys and iServe within five (5) business days of referral from Servicing to Default
- Collaborate with Post‑Closing to obtain missing or incomplete information
- Receive, sort, and distribute incoming mail on in‑office days, ensuring documents are delivered to the appropriate team members in a timely manner
- File and track documents requiring recording through CSC and monitor status as needed
- Assist with the preparation of bi‑weekly internal reporting, ensuring accurate and timely data support
- Answer incoming calls on the main line and route calls to the appropriate paralegal or team member
- Create, maintain, and monitor an inventory of Secretary of State filings
- Ensure all annual reports are completed and filed timely
- Complete initial state filings when required
- Prepare and submit Assignments of Mortgages for recording once vesting information is provided by Investors
- Support litigation-related activities as needed, including subpoena coordination, document production assistance, and data entry support
- Request original collateral files for defaulted loans requiring original documents for filing
- Perform additional administrative and operational tasks as assigned to support Default and Legal team objectives
- Additional tasks as assigned
Requirements:
- Ability to use MS Office applications including Excel, Word, Outlook, Adobe and other document processing platforms.
- Exemplary communication skills, both written and verbal.
- Experience with TMO, Willow and/or Noteflow is a plus.
- At least 2 years of experience working in a professional legal environment.
- Experience with legal invoicing or billing hours is ideal.
- Experience with foreclosure actions, mortgage licensing and compliance.
Education:
- S. Diploma or equivalent required
- Education in Legal Studies, Law, Real Estate, Business, Finance, or related field.
- Equivalent work experience will be considered in lieu of degree.
Work Schedule:
- Part Time
- Monday-Friday, 9:00AM to 1:00PM
- Hybrid work model - 2 days/week in office
- Must be able to work onsite days in CT office
