The Director is responsible for all the financial functions of the corporation to include accounts receivable, accounts payable, payroll and related functions, banking activities, general ledger reconciliation, and the preparation of monthly and annual financial statements. Working directly with the CPA to provide all information necessary to produce annual state and federal tax returns. The Director also functions as the HR Manager for the company.
Scope of Responsibilities
· Weekly reconciliation of field trip reports. Verification of time sheets and expense receipts, preparation of pending invoices and publishing the weekly management report of actual costs and revenues to projected costs and revenues.
· Accounts Receivables. Invoicing all sales and services by class. Scanning and emailing client documents daily. Reconcile client technical support renewals and then invoicing. Investigate all client payment discrepancy. Collection activities on accounts past due.
· Accounts Payables. Enter bills into computer by class after verifying their validity. Weekly payment of bills as they become due. Monthly reconciliation of unpaid bills with the general ledger. Preparing year end vendor 1099 Forms.
· Payroll Functions. Payment of weekly, bi-weekly, semi-monthly and commission payrolls and appropriate reports. Payment of all payroll liabilities when due. Preparation of all quarterly and annual payroll tax returns. Preparing year end W-2 Forms.
· Bank Account Management. Posting all payments. Daily on-line scanning of checks for depositing. Monthly reconciliation of bank statements. Always aware of balances and upcoming requirements.
· American Express Account Manager. Order new employee cards and delete former employee cards. Reconciliation of monthly statement by individual cardholder. Protest charges that are inaccurate, duplicated or unauthorized. On-line payment of account in timely manner.
· Financial Statements. Prepare monthly P & L statement in several different reporting formats only after all journal entry accruals have been accomplished, the bank statement reconciled, the AX statement reconciled to both the statement date and to the end of the month, and a line-by-line review of every entry to ensure accuracy by both account and class.
· New Employee set up. Issue all appropriate forms and documents. Verification of forms completion. Set up fingerprint appointments, complete drug screening forms. On-line e-Verify I-9 procedure. Fax Texas right to hire forms. Set up and record payment of court ordered garnishments. Employee roster changes. Reply to all workforce commission unemployment notices.
· Work-related injury reporting. Completion of the First Report of Injury and all subsequent reporting forms to corporation’s workers compensation insurance carrier. Coordinate with employee’s manager to determine work availability if restrictions apply. Make appointments when necessary. Forward any related paperwork as it is received. Deal with insurance claims adjustors and loss prevention consultations and doctor office personnel.
· Other duties as may be assigned.
Job Requirements
This position requires a degree or work equivalent in accounting. The individual must have a great memory and be able to multi-task as there are numerous interruptions during the day and several deadlines during a week. An extremely detailed oriented individual is also a requirement. Must possess an eye for accuracy, as all functions of the job must be done correctly. Hands-on experience in every aspect of accounting is necessary.
Minimum Requirements
· An accounting degree or work equivalent experience.
· Extensive experience in all areas of accounting plus experience with HR.
· Experience with Quickbooks accounting software.
· Excellent time management and organizational skills.
· Ability to communicate with employees, clients and vendors.
· Multi-tasking skills are essential to the job function.
· Talent in area of problem solving.
· Ability to work independently.
Preferred Requirements
· Work experience of minimum of 10 years.
· Analytical skills in regard to financial statements analysis.
