Duties
- Manage front desk responsibilities, greeting visitors and directing them appropriately with professionalism and warmth
- Operate multi-line phone system, answer inquiries, and route calls efficiently using proper phone etiquette
- Obtain full truckload freight (customer deliveries) through freight brokers or carriers
- Maintain accurate filing systems and perform some data entry
- Assist with calendar management
- Support on-site bookkeeping tasks using QuickBooks Online, including invoicing and expense tracking
- Correspond with off-site bookkeeper
- Provide customer support via phone or email, addressing inquiries promptly and professionally
- Assist with office management duties such as supply inventory, filing systems, and general clerical tasks
- Maintain a clean and organized reception area to promote a positive first impression
Skills
- Proven experience in office administration or clerical roles with strong organizational skills
- Excellent written and oral communication
- Accurate computer literacy
- Familiarity with QuickBooks Online is highly desirable
- Strong typing skills with attention to detail for data entry
- Exceptional phone etiquette skills for handling multi-line phone systems
- Demonstrated ability to prioritize tasks efficiently using time management techniques
- Office management background is advantageous
- Knowledge of office equipment operation including scanners and printers
- Background or knowledge of animal agriculture or agricultural equipment is advantageous
